Location: Albany, NYHours: Second ShiftPosition SummaryWe are seeking a highly organized and proactive Health and Wellness Business Office Operations Support Assistant to support administrative leadership and clinical operations in our Albany, NY office.This role focuses on insurance coordination, provider credentialing, insurance denials management, and building scalable administrative systems that improve operational efficiency and patient experience. You will serve as a key operational partner, ensuring our internal systems run smoothly, accurately, and compliantly.If you enjoy creating structure, optimizing systems, and supporting healthcare operations behind the scenes, this role offers meaningful impact and ownership.Key ResponsibilitiesInsurance & CredentialingVerify patient insurance coverage and payer requirementsCoordinate provider credentialing and re-credentialing with multiple insurance payersMaintain up-to-date credentialing files, licenses, and compliance documentationServe as a primary administrative contact for insurance carriersDenials ManagementReview and manage insurance claim denialsIdentify root causes of denials and coordinate corrective actionsCommunicate with insurance carriers to resolve denied or delayed claimsTrack denial trends and recommend workflow improvements to reduce recurrenceSystems Development & AdministrationBuild, document, and improve internal administrative systems and proceduresCreate trackers, templates, process flows, and standard operating procedures (SOPs) for insurance, credentialing, and denials workflowsIdentify inefficiencies and recommend practical system enhancementsSupport transition to or optimization of electronic medical record (EMR) systemsTechnology & Platform SupportUtilize and support electronic medical record (EMR) platformsAssist with phone systems and telehealth platformsMaintain accurate data tracking and reporting using Microsoft ExcelSupport internal administrative technology workflows to ensure accuracy and efficiencyExecutive & Operational SupportAssist with operations planning, communications, and project coordinationPrepare reports and maintain accurate operational dataCommunicate professionally with providers, partners, and external stakeholdersHandle sensitive information with discretion and professionalismQualificationsRequiredExperience working with insurance processes and provider credentialing (healthcare setting preferred)Experience managing or resolving insurance denialsStrong Computer Proficiency, IncludingElectronic Medical Record (EMR) systemsPhone and telehealth platformsMicrosoft ExcelStrong organizational and time management skillsHigh attention to detail, especially with documentation and complianceAbility to manage multiple priorities in a fast-paced healthcare environmentProfessional written and verbal communication skillsAbility to handle confidential information responsiblyPreferredExperience supporting healthcare or behavioral health operationsExperience improving administrative systems or workflowsWhy Join UsBe part of a collaborative, mission-driven behavioral health practiceOwn and refine critical business office systems that directly impact patient careWork alongside experienced mental health professionalsEqual Opportunity EmployerPinnacle Behavioral Health is an equal opportunity employer.
