Transaction Coordinator - Pacific Palisades, CA

Job DescriptionThrough interactions with real estate professionals, clients, escrow companies and property management companies, the Transaction Coordinator is responsible maintaining escrow files and the coordination and processing of all information and legal documentation pertaining to the sale and escrow of each home, possessing strong working knowledge of CAR (California Association of Realtors) contracts and disclosures. This position is also responsible for providing other general office administrative duties.The Transaction Coordinator role is a shared, in-office position split between our Pacific Palisades and Brentwood offices. Responsibilities include:Help coordinate files for sales associates which may include, but is not limited to, contacting clients, sales associates, and escrow companies for all required documentsMonitor all files for all required signatures, documents, and dates ensuring that files are maintained in an organized and thorough mannerUpload and maintain documents in our transaction management program called Transaction ManagerSend reminders to sales associates of items that are due on each fileInput and monitor each escrow's information in real estate databases for tracking purposes, (i.e., contingency dates, contact information, opening and closing dates).Strong working knowledge of CAR (California Association of Realtors) contracts and disclosuresAssist sales associates and escrow companies with needed documentsMaintain and track all closed archive filesCreate broker files for each transactionProvide daily office updates of new, pending and closed escrows ensuring effective communication with the Office Administrator and Brokerage ManagerProvide backup to the Office Administrator and the Front Desk when neededAssist with other general administrative duties when neededQualifications include:Real estate transaction experience requiredExcellent verbal and written communication skillsAble to juggle multiple priorities and deadlines without sacrificing quality-An eye for detail/proofing, and being proactiveStrong working knowledge of MS Office skills (Word, Excel, PowerPoint, Outlook)Ability to interact successfully with both internal and external customers at all levelsStrong administrative skills including accurate data entry, consistent attention to detailCA Real Estate License strongly preferredAbout UsSotheby's International Realty is one of the world's most prestigious names in real estate and this luxury real estate franchise network was created in 2004.
