Administrative Assistant
Reports To: Business Manager

Schedule: Monday thru Friday: 7:30 AM to 4:00 PM
Position Description
The Receptionist/Administrative Assistant offers invaluable support to the executive and management team while creating a welcoming environment for guests and staff. As the initial point of contact for the organization, this position holds a critical role in shaping first impressions and facilitating smooth day-to-day operations. It is essential that the person in this role be adept at time management, organization, effective communication, troubleshooting, and ability to maintain confidentiality.

Primary Tasks and Responsibilities
Accurate record keeping, note taking and filing using digital and physical mechanisms.
Public facing duties: Answer phone calls and takes messages; manages emails; greets public.
Weekly preparation and set up for staff meetings, including shopping for food.
Occasional errands.
Occasional interface that requires trauma-informed training and cooperative management. (Training provided. )
Supports with research, typing, scanning, faxes, and filing.
Prepares mailing labels, letter correspondence and mailing.
Maintains inventory of office supplies and place orders when necessary.
Inputs invoices into QuickBooks (training provided)
General office administrative support as needed by management team and executive staff.
Skills, Experience, and Education

You're capable of managing multiple priorities and excel in a lively setting.
Tech-savvy, proficient in Microsoft Office Suite and Google Workspace, and can troubleshoot with confidence
Minimum of three years of in-office, administrative support experience.
Minimum of one year providing support to a director or executive-level team.
