Client Services Coordinator

Title: Client Services Coordinator Department: AdminFLSA Status: ExemptSupervisory Responsibilities: NoSummary:The Client Services Coordinator is responsible for the efficient processing and handling of customer orders. Provides support to sales personnel as well as accurate and timely service to clients. Coordinates ordering and receiving process, expedites orders, maintains order status, and punch-list follow-up to ensure a high level of customer satisfaction. Responsible for working as sales support and to be the liaison between all operational departments and the sales organization.Responsibilities and Duties:Serves as the main internal customer contact, ensuring that all requirements and expectations are met and convey an understanding and knowledge of all company productsDeepen customer relationshipsDevelop and maintain a strong partnership with Sales, Design, Project Management and Warehouse to guarantee customer expectations and satisfactionCheck orders to ensure accuracy of all information, i.e. cost, sell, product finishes, key alike, manufacturers codes, freight, contracts, purchase and sales documents, ship to and bill to information, COM etc.Ensure accuracy of manufacturer acknowledgements for correct product, finishes, specials, pricing and shipping informationMaintain and provide weekly order status reports to the client and salesCommunicate with client regularly to provide a high level of customer service, answer questions, provide order information, perform follow-up phone calls after job completion, assist client with sales support as requiredTrack and monitor orders for ship dates, clarifications, discrepancies, and changes to ensure client receives product on time and in good conditionSchedule orders, monitor shipping and installation dates, generate timely delivery tickets to the warehouseParticipate in weekly meetings with sales to proactively manage new orders, changes, discrepancies, punch list, issues, backlogs and invoicingPrepare and submit orders for invoicing on a timely basis through the entire monthly cycleFollow up on customer issues in a timely manner, such as back orders, damaged product and, track punch list progress utilizing CORE schedulerUtilize all technology tools to support the job function, i.e. CAP, HMI Kiosk, Order Manager, CORE, Order Status, COR Connect and Lotus Notes data basesThorough understanding of administrative process and utilization of all internal resources and departmentsKnowledgeable on all product lines that COR sellsUnderstand business and accounting practices and the impact it has on the Account Coordinator responsibilitiesAdapt to changes in process and responsibilities as outlined by managementOther duties as assigned, duties are subject to change due to personal growth, organizational development, technological/industry advancementsOther duties as requiredThese responsibilities are not designed to cover all responsibilities required of the employee. All duties and responsibilities may change at the discretion of Creative Office Resources at any time with or without notice.Required Education, Skills, and Experience:4 year degree, concentration in Business preferred1-3 years of work experience - industry experience extremely helpfulStrong written and verbal communication and interpersonal skills to interact effectively with a wide range of people within and outside of COR:Must be able to read, write, interpret and communicate fluently in EnglishWriting skills must be sufficient to compose and edit a variety of documents using correct spelling, grammar and punctuation with the ability to pay close attention to detail and proofread work carefullyStrong Microsoft Office Suite with ability to learn and use new computer programs/applicationsDemonstrate commitment to providing the highest level of customer satisfactionGood organizational, time management, customer service and problem-solving skills:Handle a high volume of detailed work with the ability to multitaskAbility to work accurately to meet deadlines by adapting to changes in work environment, work assignments, and/or changes in priorities in a flexible way by working from your own initiative and/or following direction, policies, or proceduresUse analytical and decision-making skills to offer options and resolve problems in a variety of contextsAbility to work effectively both independently and as part of a team ensuring efficiency of projects from start to finishPhysical Demands:Sedentary work that primarily involves sitting/standingRepeating motions that may include the wrists, hands and/or fingersWork Environment:Work performed in fast-paced office environment daily with visits to various sites including warehouse, construction sites, client sites and officesEQUAL EMPLOYMENT OPPORTUNITY
