Offering excellent benefit package.Our client is searching for an experienced, reliable and task-oriented Executive Assistant. The Executive Assistant will work directly with the managing partner and will be responsible for performing a number of administrative duties. The ideal candidate is highly self-motivated, professional, and capable of managing their work load and prioritizing tasks in a fast-paced professional services environment.Job Responsibilities (including, but not limited to):Answer and place incoming/outgoing calls in a professional manner Copy, scan, fax and print documentsCalendar/schedule managementProvide high level administrative supportHandle select personal assistant/other tasks as neededFlexibility to work extended hours if needed (OT as applicable)Information preparation-Letters, memos, reports, presentations, editing, proofreading, etc.Transcribing digital dictationHandle expenses and update internal databasesTravel arrangementsSkills required: Knowledgeable in Microsoft Office programs (Word, Excel, Outlook, PowerPoint); this software used heavilyAble to utilize the full potential of the internet as a resource (for information, purchases, etc.) Schedule and confirm meetings via video/audio/web/conference callsMust be very detail orientedPrepare and edit executive level correspondence (business letters, spreadsheets, etc.) in Microsoft Word and Excel with a high degree of accuracyExperience answering telephone calls, screening and redirecting as appropriateCreate, edit and redact PDF’s (using Acrobat or similar)Incredibly proactive and able to take initiative and work efficiently with little directionAble to prioritize and multi-taskAble to work in a fast paced environmentPersonality requirements:Must be able to handle high end, high profile clientsMust be able to maintain department business with the utmost of confidentiality/discretionAbility to remain calm while dealing with stressful situationsA pleasant yet confident presence with a sense of humorFlexible can-do attitude
