Benefits:401(k)Health insurancePaid time offJob SummaryWe are seeking a detail-oriented and dependable Payroll & Administrative Specialist to manage multi-state payroll for Nevada and Arizona employees, while also providing essential administrative support. This role requires strong knowledge of payroll compliance, organization, confidentiality, and the ability to manage multiple priorities accurately.Payroll Responsibilities (Multi-State: NV & AZ)Process weekly and/or bi-weekly payroll for Nevada and Arizona employees (hourly and salaried)Ensure accurate calculation of wages, overtime, PTO, bonuses, and deductions across both statesApply correct state-specific wage laws, including:Nevada meal/rest periods, overtime, and final pay rulesArizona minimum wage, overtime, and federal FLSA break standardsReview and approve timecards; resolve discrepancies prior to payroll submissionProcess new hires, terminations, and final paychecks in compliance with NV and AZ lawsAdminister garnishments, child support orders, and wage deductions across jurisdictionsMaintain payroll records in compliance with state and federal retention requirementsCoordinate payroll tax filings and reporting for NV & AZ, including year-end W-2 processingRespond to employee payroll inquiries professionally and timelyMaintain strict confidentiality of payroll and employee informationAdministrative ResponsibilitiesProvide general administrative and office support to management and operationsAssist with onboarding paperwork and employee file maintenance (multi-state compliance)Maintain organized digital and physical employee and payroll recordsAnswer and route phone calls and emails professionallyAssist with scheduling, calendar coordination, and internal communicationsPrepare basic payroll, labor, and administrative reportsSupport invoicing, expense tracking, and data entry as neededOrder office and janitorial supplies and track inventoryAssist with audits, licensing, and compliance documentationQualificationsPayroll experience required (multi-state payroll experience strongly preferred)Working knowledge of Nevada and Arizona wage & hour lawsExperience with payroll systems such as ADP, Paylocity, Paycom, or QuickBooks PayrollProficient in Microsoft Excel and payroll reportingStrong attention to detail and organizational skillsAbility to handle confidential and sensitive informationStrong communication and problem-solving skillsRequirementsAuthorized to work in the United StatesAbility to manage payroll compliance across multiple statesEmployment is at-will in accordance with Nevada and Arizona lawBackground check may be required, consistent with applicable regulationsDrug-Free WorkplaceThis company maintains a Drug-Free Workplace.
