The firm is located in Metairie, Louisiana and focuses on building strong financial futures for its clients.Role DescriptionThis is a full-time on-site role for an Administrative Assistant located in Metairie, LA. The Administrative Assistant will provide crucial support, including managing schedules, handling correspondence, organizing records, and performing general clerical tasks. This role involves interacting with clients and internal team members, ensuring efficient operations, excellent communication, and professional phone etiquette. The Administrative Assistant will also support the team through a variety of administrative responsibilities, contributing to the seamless execution of daily office activities.Key Responsibilities:Client Service & Relationship SupportServe as the first point of contact for clients via phone, email, and in-person visits. Schedule appointments, confirm meetings, and manage advisor calendar. Prepare meeting packets, client reports, and follow-up correspondence. Assist with onboarding new clients and maintaining client records. Provide white-glove service by responding promptly and professionally to client requests. Administrative OperationsManage office workflow, filing systems, and document organization. Process paperwork for account openings, transfers, beneficiary updates, and other service requests. Track pending items to ensure timely completion. Coordinate mailings, marketing materials, and client appreciation events. Order office supplies and maintain professional office appearance. Advisor SupportAssist advisor with daily scheduling priorities and time management. Prepare presentations, spreadsheets, and internal reports. Help organize prospect meetings, seminars, and networking events. Maintain confidentiality of sensitive financial and personal client information. Compliance & AccuracyEnsure paperwork is complete, accurate, and submitted timely. Maintain records in accordance with firm policies and industry regulations. Support compliance-related administrative requests as needed. Qualifications:Previous administrative assistant, executive assistant, banking, or financial services experience preferred. Strong organizational skills with exceptional attention to detail. Excellent verbal and written communication skills. Professional demeanor with strong customer service instincts. Proficiency in Microsoft Office (Word, Excel, Outlook) and CRM/database systems. Ability to multitask, prioritize, and work independently. High level of integrity and discretion. Preferred Attributes:Experience in wealth management, insurance, banking, or investment services. Friendly and polished presence with strong interpersonal skills. Self-starter who anticipates needs and solves problems proactively. Comfortable in a highly personalized boutique office and an entrepreneurial environment.
