Role: Administrative AssistantLocation: Martinez, CA (5 days onsite)Duration: 3–6+ monthsOverview: We are seeking a detail-oriented Administrative Assistant to support day-to-day operations, records management, and administrative coordination within a County department. This role includes document handling, public and internal support, and assisting with procurement, contracts, and Statement of Work (SOW) processes to ensure smooth administrative and operational workflows.Key ResponsibilitiesProvide general administrative support to department staff and leadershipMaintain, organize, and retrieve records, including maps, plans, and official documentsAssist with document indexing, filing, and records management systemsRespond to internal and public requests for information and documentationSupport procurement activities, including tracking purchase requests, maintaining documentation, and coordinating approvalsAssist with contract administration, including organizing agreements, tracking timelines, and maintaining contract recordsSupport creation, review coordination, and tracking of Statements of Work (SOWs)Track and support ongoing projects, ensuring timelines and deliverables are metPrepare reports, maintain logs, and ensure data accuracyCoordinate with team members to support daily operations and workflow continuityEnsure compliance with established policies, procedures, and regulatory requirementsRequired Skills & ExperienceExperience in administrative support, records management, or office coordinationExposure to procurement processes, contract administration, or SOW documentationStrong organizational and document management skillsExperience working with internal teams and/or public-facing supportAbility to research, retrieve, and analyze documentsStrong attention to detail and ability to manage multiple tasksTechnical SkillsMicrosoft 365 (Excel, Word, Outlook)Adobe Acrobat ProDocument management systems (e.g., Laserfiche preferred)Familiarity with tools like Google Earth is a plusEducationBachelor's degree preferred (or equivalent experience)
