Job DescriptionThe Associate Director for Housing Facilities is a member of the Housing and Residence Life Leadership Team. This position assists with the oversight of housing facilities and operations. This position works collaboratively with other departments to ensure housing facilities are maintained and projects to replace or enhance the facilities are executed effectively.The Associate Director maintains an accurate and up‐to‐date inventory of housing facilities and furniture. This position works with HRL technology services to maintain housing technology systems and access. This position oversees the management of the summer conferences program and its revenue targets. The Associate Director oversees The Hub and its operation. This position is essential personnel in the event of a crisis or evacuation.ResponsibilitiesLeadership and SupervisionServes as a member of the Housing & Residence Life leadership team, contributing to the assessment, planning, decision making, and implementation of departmental goals and initiatives.Builds collaborative relationships by professionally interacting with parents, students and University staff as well as participating in university functions and committees, as requested.Directly supervises, trains, and evaluates the Assistant Director for Housing Facilities, Hub and Conference Coordinator, two Housing Operations Coordinators and indirectly supervise hourly student staff positions.Supports evaluation, planning and implementation of departmental operational improvements.Coordinates and implements training related to room inspections, facilities operations, and residence hall safety for full-time and student staff.Serves as a member of the department and divisional crisis response teams and as a member of the University’s Essential Personnel. Participates and contributes to department meetings.Collaborates and provides feedback on departmental publications including the departmental website.Serves as the primary point of contact for students, staff and parents regarding maintenance projects, interruption of service and other maintenance or custodial needs.Coordinates with Life Safety staff to ensure adherence to federal, state and local regulations applicable to residence hall operations including fire alarm testing, university safety and emergency operations. Assists with review of manuals and protocols yearly or as needed.Assists with student staff selection and training to ensure quality housing operations within the residence halls as well as effective promotion of housing services functions, policies and procedures.Facilities ManagementServes as primary liaison with Campus Services on day-to-day aspects of Residence Hall general maintenance and custodial operations.Leads weekly meetings with maintenance and custodial partners to resolve issues and proactively respond to student needs.Enforces key and access card standards for all residence hall keys and access cards.Ensures effective operation of a work order management system to promptly respond to student needs.Supports the Director of Housing Operations to develop and complete residence hall projects, renovation, and construction.Assists with maintaining the inventory of all residence hall furnishings ensuring that the department has an adequate supply of furniture and equipment to meet student needs.Administers annual room inspection processes (check-in, check-out, health & safety).Assists with coordination and support of maintaining departmental operations during emergency/evacuation and response for affected students.Maintains regular communication with Laundry, MicroFridge and other relevant vendors to ensure consistent operation of these services. Develops, implements, and oversees community and individual damage billing procedures including prompt notification of charges and regular follow-up on billing reconciliation.Services and AdministrationDirects all Housing laundry operations and Micro-fridge program (to include installation replacement, and repair) in conjunction with associated vendorsCoordinates hall opening, check‐in, check‐out, and closing procedures, including break housing with card services, campus services, police department and other campus partnersAssists with management of the room database in StarRez ensuring that all information for residence hall rooms is accurate and associated reports and processes are updated when necessary.Develops and maintains comprehensive policies and proceduresPrepares and posts billing reports according to schedule or on an ad hoc basisPromotes understanding of policies for individual and community responsibilityMaintains secure, electronic key box system to provide security and accountability for staff and students.Coordinates or conducts Transact training procedures on an annual basis or ad hoc basis as needed or directed.Oversees the operation and management of The Small Family Collaboration Hub and Village Theater, their services, and indirectly the student staff that work in these spaces.Conference ServicesOversees the Housing & Residence Life’s conference services program.Supervises central staff team in charge of conference services, as well as student staff indirectly.On an annual basis, evaluates conference operations to include reviewing policies, distribution of responsibilities, revenue development, fiscal responsibility, conference planning, service provision, program sponsorship, data collection, and marketing efforts.Works with the General Counsel office to create and review all contract utilized by University Conferences.Develops procedures to accurately bill the conference clients and monitor conference revenue.Other DutiesPerforms other duties as requested or required, whether or not specifically mentioned in this job description.This position is considered ESSENTIAL – Level 2. This means that when there is an emergent situation at the university, you will be called upon to fill a critical role. This includes but is not limited to the university’s response to hurricanes before, during and after the event, and other weather incidents. Your individual supervisor will discuss the nature of your specific responsibilities as they are able to do so.
