We are two construction companies under the smae owenrship looking for an Office Administrator to assist the President and VP of Sales & Operations with daily responsibilities. This role provides key support to the management team as well as maintaining all front office functions. The position is based in the office, located in Sherwood, Oregon.
The many responsibilities include, (but not limited to):
General Office Duties
Filing
Organizing meetings
Keep office Organized and professional
Scanning documents
Maintain office supplies
Banking and collection calls to existing customers as needed
Data Entry
Collect Crew Day Sheets
Tracking sold contracts, deposits, and update WIP report
Payroll input into payroll system Track PTO
Document procedures and policies
Place orders
General task assigned by the president and VP of Sales & Operations
Customer Service
Answer phone calls
Appointment setting & scheduling
Taking messages and rout to the appropriate person
Greet walk in customers and vendors
Pre-screen client inquiries from website and route to the appropriate person
Various customer service duties to be determined
A/P and A/R
Enter new Customers/Vendors in QBO
Input Bills, Invoices and Expenses into QBO
Track Job Costing in QBO
Cost coding
Organize A/P's for prompt payment
Update and maintain A/P & AR Aging reports
Statements from Vendors
Tracking Receipts
Qualifications, Work Hours and Skills:
Monday-Friday, Business Hours
Basic knowledge of QuickBooks Online
Must type 40-50 words per minute
Tracking budget expenses
Must be able to work independently with minimal supervision
Excellent Communication Skills
Education and Experience:
High School diploma or equivalent
2-3 years of office management experience
Proficient in adobe pdf, MS Office Suite, Gmail and various teleconference apps
