Executive Assistant The Atlanta Regional Commission (ARC) is the regional planning and intergovernmental coordination agency that focuses on issues critical to the region's success, including growth and development, transportation, water resources, services for older adults and workforce solutions. ARC is dedicated to unifying the region's collective resources to prepare the metropolitan area for a prosperous future. This is done through professional planning initiatives, the provision of objective information, and the involvement of the community in collaborative partnerships.The Mobility Services Department (MSD) is seeking a professional, self-motivated, and experienced Executive Assistant to support the department. The position reports to the MSD Managing Director. The Executive Assistant provides general support to a 16-person cross-functional team and plays a vital role in advancing departmental initiatives. Key responsibilities include performing complex administrative and operations tasks, coordinating programs and projects with subject matter experts, supporting internal and external activities, tracking budgets and expenditures, and engaging with diverse stakeholders in a fast-paced, dynamic environment all in support of the region's Transportation Demand Management (TDM) Program.Essential Duties and Responsibilities: Provides executive and administrative support to the MSD Director, including MSD calendar coordination, department travel coordination, phone and correspondence workflow, and ensuring timely task execution with appropriate staff engagement.Coordinates internal and external communications, acting as a liaison across departments and with external partners, while maintaining confidentiality and supporting senior leadership priorities.Assists MSD staff with administrative support and project management of strategic initiatives, programs and functions which may include monitoring budgets and expenditures; coordinating processes; interacting with stakeholders and partners; and coordinating workflow and work product.Oversees monthly and quarterly reporting to track and monitor both MSD and Agency goals and objectives.Supports meetings and events planning, including scheduling, logistics, materials preparation, and stakeholder engagement.Supports recruitment logistics, screening, interviewing, onboarding, and department organizational updates in collaboration with HR and other internal teams.Oversees the procurement and inventory of departmental office supplies, ensuring that purchases are in accordance with ARC policies and procedures, including proper documentation management.Processes and manages travel expense authorization and expense reimbursement reports, ensuring that travel plans and expenses are in accordance with ARC policies and procedures, including proper documentation management.Performs general document management and control, including filing and archiving project and operational documents in accordance with ARC policy.Assists in the preparation of regularly scheduled reports, presentation materials, slide presentations, forms, charts, memos, and other written communications as required.Collaborates within ARC as needed to maintain MSD content on the ARC website.Performs other duties as assigned to support Agency goals and objectives.Minimum Qualifications: Associate's degree in business administration, public administration, accounting, finance or related field.Four years of administrative support or customer service experience.ORAn equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation.Preferred Qualifications:3+ years of experience supporting executive level leaders.5+ years of administrative/office management experience.5+ years of experience with productivity and project management software.Experience with Asana or other task management/collaboration software.Required Knowledge, Skills, Abilities and Competencies: Business management principles.Modern budget practices.Customer service principles.Providing program/project management, organization and logistics coordination.Coordinating deadlines and prioritizing competing demands.Gathering data, analyzing findings and applying logic and reason.Ability to maintain confidentiality and exercise discretion with sensitive data and information.Researching TDM industry trends, solutions and best practices.Authoring and preparing original reports, technical documents and presentations.Principles and techniques of effective oral presentations.Interpreting and applying applicable laws, codes, regulations and standards.Providing direction to others in order to meet standards.Utilizing a computer and relevant software applications.The Atlanta Regional Commission fosters thriving communities for all within the Atlanta region through collaborative, data-informed planning and investments.ARC Strategic Framework Vision ONE great REGIONMission StatementThe Atlanta Regional Commission fosters thriving communities for all within the Atlanta region through collaborative, data-informed planning and investments.Our GoalsHealthy, safe, livable communities in the Atlanta metro area.Strategic investments in people, infrastructure, mobility, and preserving natural resources.Regional services delivered with operational excellence and efficiency.Diverse stakeholders engage and take a regional approach to solve local issues.A competitive economy that is inclusive, innovative, and resilient.Our Core ValuesExcellence | A commitment to doing our best and going above and beyond in every facet of our work allowing for innovative practices and actions to be created while ensuring our agency's and our colleague's success.Equity | We represent a belief that there are some things which people should have, that there are basic needs that should be fulfilled, that burdens and rewards should not be spread too divergently across the community, and that policy should be directed with impartiality, fairness and justice towards these ends.Integrity | In our conduct, communication, and collaboration with each other and the region's residents, we will act with consistency, honesty, transparency, fairness and accountability within and across each of our responsibilities and functions.Application ProcessThe Atlanta Regional Commission is looking for individuals who enjoy working in a public service environment where the mission is to improve the quality of life for the citizens of the Atlanta region.
