Bilingual Intake Coordinator Location:Atlanta GeorgiaAbout the Role We are looking for a compassionate, organized, and bilingual (Spanish/English)Intake Coordinatorto be the welcoming face of our clinic and the operational backbone of our patient intake process. In this role, you will support families from their very first point of contact — guiding them through scheduling, insurance verification, documentation, and communication — ensuring every patient receives a seamless and supportive experience. This is an excellent opportunity for someone who thrives in a fast-paced healthcare environment, takes pride in delivering exceptional patient service, and is passionate about making a difference in the lives of the families we serve.Patient Intake & Front Desk Support Greet patients and families warmly, address front desk inquiries, and distribute intake paperwork and consent forms in both Spanish and English Receive, copy, and upload documents from parents to patient face sheets Provide school notes to parents upon request Translate for clinical sessions as neededScheduling & Patient Communication Schedule evaluations based on therapist preferences and daily operational needs Contact families to confirm evaluation appointments, reschedule no-shows, and manage cancellations due to therapist schedule changes Collect recurring therapy scheduling preferences and relay them to the appropriate team member Send new patient forms, request updated scripts, and manage the full evaluation scheduling workflow — including creating patient cases, booking appointments, sending confirmation emails, updating patient notes, and organizing weekly foldersInsurance Verification & Authorizations Verify Medicaid coverage through GAMMIS Check Kaiser benefits and input initial authorizations for evaluations Prepare all documentation required to schedule evaluations, including insurance verification and prior authorizationsPayment Handling Process payments at the front window Follow up with parents who did not complete payment at check-in by collecting payments over the phone Communicate with the billing department and accurately input cash receiptsDocumentation & Digital Communication Send evaluation reports, session notes, Plans of Care (POCs), and other clinical documents to families via patient portal or email Resend patient portal access links and process portal submissionsReferrals & Inbox Management Monitor and respond to voicemails, task to-dos, and the referral email inbox in a timely manner Send patient portal invitations to families who call in or when physician referrals are receivedQualifications Bilingual fluency inSpanish and English(spoken and written) — required Experience in a medical front desk, healthcare administrative, or patient intake role preferred Familiarity with Medicaid/GAMMIS and managed care insurance verification (e.g., Kaiser) is a strong plus Proficiency with electronic health record (EHR) systems and patient portals Strong organizational skills with the ability to manage multiple priorities in a dynamic environment Excellent interpersonal and communication skills — professional, warm, and patient-focused Attention to detail, especially when handling sensitive patient information and documentation Knowledge of HIPAA regulations and commitment to patient confidentialityWhat We Offer Competitive compensation based on experience [Benefits: health insurance, PTO, etc. — customize as needed] A collaborative, mission-driven team environment The opportunity to make a meaningful impact on patients and families every dayWe are an equal opportunity employer.
