Office Manager (Northern Virginia)

Office Manager (DC Metro) Innovative Technologies Corporation (ITC) is currently seeking a strong Office Manager in support of a major US Air Force multi-national communications and military intelligence program headquartered in Fairfax, VA (near Fair Oaks) in a hybrid position. The position is primarily located in Fairfax, VA, but other locations may include Warrenton, VA or Joint Base Andrews, MD. The candidate is expected to be onsite 4-5 days per week depending on support requirements and classified meeting schedule. This position requires TS/SCI eligibility at time of hiring; position is funded and available for hiring 1 October. (TAPS 007) Education and Experience: Bachelor’s degree in business administration or management, communication, human resources, or similar degree Six (6) years administrative professional/executive assistant/office manager experience plus four (4) years administrative experience within the DoD; action officer or executive officer type roles may be considered Required Skills: Experience as a senior administrative officer/office manager and total business process within a military organization, preferably within a Headquarters/Joint Staff/COCOM senior level staff. Experience in developing and managing formal task management processes and toolsets. Professional level knowledge of customer care processes. Knowledge of DoD administrative and executive support software systems, processes, and documentation (e.g. DTS, TMT, DART, Staff Summaries, Point Papers). Knowledge of US Air Force Protocol for development of invitations and formal correspondence (please note, while other services’ Protocol experience may be substituted, US Air Force Protocol experience is required). Desired Skills: One or more of the following: SAF/CDM experience, SETA contractor experience, US Air Force (civilian, military, or contractor) experience, Headquarters/Joint Staff/COCOM experience Experience as a SharePoint content manager, SharePoint knowledge manager, SharePoint administrator, and/or SharePoint developer are highly preferred Knowledge of the US Air Force Tongue and Quill Certified Administrative Professional (CAP) This hands-on “Systems Engineering and Technical Assistance” (SETA)* position directly supports military and civilian US government agencies, our Allied and Partner Nations communications and intelligence capabilities, and works side by side with government architecture and engineering professionals, acquisitions and procurement experts, engagement specialists, and administrative support to align with DoD objectives. Administrative Professionals may provide assistance, analysis, recommendations, monitoring, planning and execution to the assigned leadership or executive team, administrative, action group, or task-specific team with the internal management and coordination of the operations and activities of the organization. This may include tracking and coordination of taskers and staff packages; managing, scheduling, and coordinating internal and external schedules plus meeting/conference rooms; coordinating with the appropriate resources in order to respond to external taskers; facilitating domestic and international travel planning for the team and assigned division personnel; providing details reporting and metrics to weekly and monthly status updates; and, assisting with suspense tracking, file maintenance and audits. The Administrative Professional will also support the Contract Leadership team with similar administrative functions as necessary, plus other duties as assigned. SETAs: We set high standards and expectations for our SETAs. We expect SETAs to maintain independent thinking and action with little to no government or senior contractor oversight or direction, a strong work ethic to seek out and remedy shortfalls and gaps, have a willingness to serve to further the mission; to self-task, prioritize, and complete assigned work within a timely manner with executive-level deliverables, provide assistance to others as needed; and, to be in regular communications across multiple platforms with team members, co-workers, government counterparts, and Mission Partners regarding status, upcoming milestones, issues/blockers, and remedying solutions in an environment where authorities and priorities are not always clear, or can be conflicting. SETAs often do the unglamorous, behind-the-scenes work, but ensure the mission is planned, executed, and delivered. Attention to detail is essential, minimal supervision should be expected, and initiative is rewarded.
