They offer a collaborative, polished office environment and are seeking a long-term addition to their team who can serve as a key operational partner across the organization.Job Description:We are seeking an experienced Office Administrator to support senior leadership while overseeing daily office operations. This individual will play a critical role in ensuring organizational efficiency, managing administrative systems, and coordinating high-level events. The ideal candidate is detail-oriented, proactive, and comfortable operating in a fast-paced, professional environment.Key Responsibilities:Executive SupportManage complex calendars and scheduling for senior leadershipCoordinate meetings with internal stakeholders and external partnersArrange domestic and international travel, including logistics and itinerariesPrepare and reconcile expense reportsProvide project-based and administrative support as neededDevelop and maintain internal processes, templates, and documentationFinance & Accounting SupportHandle invoicing, accounts receivable, and accounts payable processesAssist with bank deposits and reconciliation activitiesTrack contract renewals and ensure timely processingReview employee expenses for accuracy and policy complianceSupport reporting and ad hoc financial analysisOffice ManagementOversee daily office operations and maintain a professional workspaceManage vendor relationships, office supplies, and building coordinationSupport onboarding and offboarding processesMaintain shared systems, files, and communication toolsCoordinate internal communications and team activitiesTeam & Event CoordinationAssist with scheduling across multiple team membersOrganize internal meetings and maintain reporting documentationPlan and execute team outings and internal eventsEvent Planning & ExecutionLead logistics for large-scale and high-profile events, including corporate gatherings and fundraisersManage event timelines, vendor coordination, and budgetsOversee guest communications, RSVP tracking, and event-day executionCoordinate post-event follow-ups and process improvementsQualifications:10+ years of administrative experience in a professional services environmentStrong background supporting senior executivesExperience with bookkeeping and financial coordination tasksProven ability to manage office operations and vendor relationshipsDemonstrated success in planning and executing eventsProficiency in Microsoft Office 365 (Word, Excel, PowerPoint, Outlook)Comfortable learning new tools and technologies, including emerging AI platformsHighly organized with strong attention to detail and accuracyExcellent communication skills and ability to handle sensitive information with discretionBachelor’s degree preferred; equivalent experience will be consideredAdditional Details:Contract-to-hire opportunity with long-term potentialCompetitive compensation aligned with experienceOpportunity to work closely with senior leadershipExposure to high-level events and strategic operationsPerks:High-visibility role with leadership interactionOpportunity to own and improve internal processesInvolvement in large-scale, high-impact eventsCollaborative and professional team environmentAddison Group is an Equal Opportunity Employer.
