Operations Support/Admin (Data Center)Position SummaryThe Operations Support/Admin (Data Center) provides project coordination and high-level administrative support to data center operations and executive leadership. This role is responsible for managing operational projects, coordinating schedules, and ensuring seamless communication across teams. The position plays a critical role in maintaining organizational efficiency by balancing project oversight with executive support functions such as calendar management, meeting coordination, and reporting.Key ResponsibilitiesProject & Operations Support:Coordinate and support operational projects within the data center environment, ensuring timelines and deliverables are metTrack project milestones, action items, and dependencies across cross-functional teams (Operations, Facilities, IT, Security)Prepare project documentation, status reports, and executive summariesAssist in process improvement initiatives to enhance efficiency and service deliveryMonitor and report on KPIs, SLAs, and operational metricsExecutive & Administrative Support:Manage complex calendars for senior leadership, including scheduling meetings, prioritizing conflicts, and coordinating across time zonesOrganize and prepare materials for meetings, presentations, and executive briefingsCoordinate internal and external meetings, including logistics, agendas, and follow-upsMaintain accurate records, reports, and documentation for leadership reviewServe as a point of contact between executives and internal/external stakeholdersCommunication & Coordination:Facilitate communication between technical teams and leadership to ensure alignment on prioritiesTrack and follow up on key action items from leadership meetingsAssist in planning and coordinating operational reviews, audits, and leadership meetingsSupport vendor coordination, including scheduling, documentation, and communicationQualificationsEducation & Experience:Bachelor's degree in business administration, Operations, or related field (or equivalent experience)3–5+ years of experience in project coordination, operations support, or executive administration—preferably in a data center or technical environmentSkills & Competencies:Strong organizational and administrative skills with exceptional attention to detailExperience managing executive calendars and supporting senior leadershipAbility to handle sensitive and confidential information with professionalismStrong written and verbal communication skillsProficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word)Familiarity with project tracking tools (Smartsheet, Asana, Jira, or similar)Ability to prioritize tasks and manage multiple deadlines in a fast-paced environmentKey Performance Indicators (KPIs)Timely and accurate scheduling and calendar managementOn-time completion of project milestones and deliverablesExecutive satisfaction and responsivenessAccuracy and quality of reports and documentationEfficiency of meeting coordination and follow-up executionWork EnvironmentData center and/or corporate office environment (onsite)Frequent interaction with technical and operations teamsMay require flexibility to support leadership schedulesHouse 8am-5pm#LI-AL1
