If you are energized by variety, prefer to create rather than maintain systems, or need frequent change to stay engaged, this role is not the right fit.ResponsibilitiesManage the firm owner's calendar and the firm master calendar, ensuring all appointments, meetings, and commitments are tracked and protected with zero tolerance for scheduling errorsServe as the first point of contact for clients, referral sources, and opposing counsel, providing consistently professional and warm communication across all channelsOversee the new client intake process from initial inquiry through engagement letter execution, including Lawmatics CRM management, follow-up sequencing, and new client onboarding materialsManage monthly billing cycles, retainer replenishment, and collections follow-up in coordination with the firm's bookkeeper, maintaining accurate records in ClioCoordinate attorney assignment packages, track assignment deadlines, and ensure timely completion under the direction of the firm ownerDraft, implement, and maintain firm policies, procedures, and operational systems, ensuring consistent execution across all staff and contract personnelManage the firm's Lawmatics CRM platform, including lead tracking, referral source follow-up, and client communication workflowsOversee the firm's social media presence and the firm owner's LinkedIn profile, including content scheduling and coordination of referral source outreach and business development activityManage the firm owner's business development calendar, including scheduling of meals, meetings, and professional events with referral sources and prospective clientsMonitor office technology systems, manage vendor relationships, and coordinate with IT support to ensure all hardware and software systems remain operationalAssist with onboarding new staff and attorneys, providing orientation on firm systems, procedures, and software, including Clio and LawmaticsManage office supply inventory and vendor accounts to ensure the office remains fully equipped and operationalQualificationsMinimum three years of administrative experience in a law firm, legal department, or professional services environmentDemonstrated proficiency in billing, invoicing, and collections processes, preferably in a legal contextExperience with practice management software, preferably Clio; CRM platform experience a plusExceptional attention to detail with a track record of accuracy in client data, billing records, and deadline managementStrong written and verbal communication skills with a professional, client-first demeanorProven ability to execute established systems and procedures independently without requiring daily directionHigh comfort level with repetitive, accuracy-dependent tasks and a preference for consistent, structured workProficiency in Microsoft 365, including Outlook, Teams, Word, and ExcelDemonstrated discretion in handling confidential client and matter informationAssociate's degree or higher preferred; equivalent experience considered.Compensation $55,000 - $70,000 yearly About The Frazer Firm, P.A.The Frazer Firm, P.A. is a boutique business law firm in Jupiter, Florida providing business litigation, transactional counsel, and fractional general counsel services to business owners and executives who value clarity, integrity, and strategic thinking.Our standards are high.
