We are looking for a versatile Accounting & Operations Specialist to streamline our financial workflows and anchor our daily office operations. Position Overview As a central figure in our growing team, you will bridge the gap between financial management and office logistics. Key Responsibilities Financial Management: Orchestrate full-cycle Accounts Payable (AP) and Accounts Receivable (AR). Streamline client billing and ensure the prompt delivery of accurate invoices. Execute payment processing via ACH, wire, and credit card platforms. Conduct rigorous bank and credit card reconciliations. Facilitate payroll administration and maintain confidential employee records. Liaise with our CPA to prepare tax documentation (W-9, 1099s). Monitor project-specific costs and operational overhead. Operational Support: Serve as the professional first point of contact for client inquiries. Develop formal quotes, service contracts, and professional correspondence. Optimize digital and physical filing systems for peak accessibility. Manage procurement for office and laboratory consumables. Coordinate HR onboarding and ensure regulatory compliance documentation is audit-ready. Qualifications Experience: 2+ years in accounting, full-charge bookkeeping, or office management. Technical Savvy: Proficiency in QuickBooks and advanced Microsoft Excel functions. Precision: An uncompromising eye for detail and a knack for multitasking. Industry Context: Prior experience in a laboratory or environmental services setting is highly preferred. Communication: Exceptional service-oriented communication skills.
