Project Coordinator - Order Management

Job Description Description:The Project Coordinator – Order Management is responsible for supporting both the sales and production teams to meet project deadlines, processing orders based on sales quotes, and managing larger projects throughout the production lifecycle. This role requires strong computer skills, proficiency in Adobe Creative Suite, and the ability to multitask in a fast-paced, team-oriented environment.Please double check you have the right level of experience and qualifications by reading the full overview of this opportunity below.Essential Functions and DutiesSupport the sales team and customers with quoting and processing incoming projects, including order entryCreate production work orders detailing materials, dimensions, customer preferences, etc.Daily invoicing of ordersPre-flight and prepare ready-to-print artwork for production using Adobe IllustratorCoordinate with Production Manager / Department Supervisors to ensure turnaround times are manageableUpdate the production job board with revised due dates based on customer requestsConsistent communication with the team including MS Teams meetings & daily huddle ups Coordinate with installation team for scheduling, update clientsCoordinate with outsourced vendors, gather quote information and submit ordersGenerate and track special order POs for outsourced itemsHandle phone inquiries for job status, quotes, orders, and changesUnderstand which materials/substrates are appropriate for various sign applicationsManage processed orders throughout production life cycle – including quality-checking larger ordersAdditional tasks as assignedRequirements:Bachelor's DegreeProficient in Adobe Illustrator and PhotoshopCompetent in Microsoft Office products, basic computer skillsExcellent verbal and written communication skillsCompetenciesStrong work ethicAbility to work in a fast-paced environmentAble to multi-task/simultaneously work on multiple projectsOrganized with meticulous attention to detail & accuracyExecute/Complete assignments in a time sensitive mannerTeam Player – works well independently and with coworkersCompensation and Benefits Include:Competitive SalaryMedical, dental, vision, accident, life, & long-term disability insurance availableMedical and dependent care FSA or HSA401(k) retirement planPaid parental leavePTO & HolidaysDisclaimerThe statements above are intended to describe the general nature and level of work performed by employees in this position.
