DescriptionPOSITION: Office AssistantDAYS/HOURS: 40 hours, Mon – Fri, 8:00 a.m. - 4:30 p.m. No scheduled remote days.REPORTS TO: Senior Director, Housing ServicesDEPARTMENT: Housing ServicesLOCATION: 3368 Washington St, Jamaica Plain, MA 02130RequirementsSUMMARY OF THE POSITION:The Office Assistant provides day-to-day office administrative, clerical, and program support. The Assistant maintains a well-organized and efficient office space, including the establishment, implementation and maintenance of office systems that assist in effective program operation. Specifically, this role supports program logistics, administrative, project and calendar management, operations information distribution, donation and program supply stewardship. The Assistant will be a strong communicator, with confidence in independent decision-making, and the ability to identify and escalate sensitive situations to program leadership in a timely and effective way. The Assistant will work collaboratively with all staff Pine Street Inn and business partners.QualificationsThe Office Assistant must have a clear commitment to the population we serve, be able to work as part of a team and excel in a fast-paced environment.Education/TrainingREQUIRED:High School Diploma or GEDProficiency in office software and equipment including Microsoft Office Products (Word, Excel, and Outlook), internet use, telephone systems, and copy/scanner machinesPreferredAssociate’s degreeThree (3) to five (5) years of administrative experienceBilingual/Bicultural (English/Spanish speaking skills)Knowledge/ExperienceREQUIRED:Excellent customer service skills; highly developed and effective interpersonal skillsHigh degree of cultural sensitivity and ability to work effectively with diverse people and situationsDemonstrated commitment to Pine Street Inn’s mission, positive approach to change, promoting best development practicesProficiency in Microsoft products, including Word, Excel, Power Point, and Outlook.Ability to work effectively under pressure, take initiative, be self-directed and take direction wellExperience in maintaining confidential records and information.Experience in communicating effectively and confidentially in sensitive situationsWorks proactively to keep up with program innovations and new administrative technologiesDemonstrated ability to successfully work in a goal-oriented team environmentEnthusiasm, positive sense of humor and can-do attitude
