Finance & Operations Coordinator

We sell globally across wholesale, retail, and DTC, and we're growing fast.We're looking for a Finance & Legal Operations Coordinator to help manage the financial, legal and administrative side of the business.This is a hands-on role focused on receivables oversight, banking, insurance, legal coordination, vendor setup, HR support, and keeping key business systems organized and up to date. You will work closely with leadership to make sure cash flow is tracked, risks are managed, and nothing slips through the cracks.This is a full-time, in-office or hybrid role based in DUMBO, Brooklyn.What You'll DoReceivables and credit managementTrack outstanding receivables across wholesale and partnersHelp manage credit risk across accounts and flag potential issues earlySupport collections efforts on past due invoices when neededMaintain clear visibility into who owes what and whenWork with sales and operations to resolve discrepanciesBanking and financial operationsManage day-to-day banking activity including payments, transfers, and account trackingCoordinate with banks on account setup, changes, and ongoing needsHelp monitor cash position and ensure smooth movement of fundsSupport basic reconciliation and financial organizationInsurance, risk, and legal administrationManage company insurance policies, renewals, and documentationCoordinate with brokers to ensure coverage stays currentTrack COIs and ensure requirements are met for retail partnersHelp manage claims and ongoing policy updatesAct as a liaison with outside counsel on contracts, filings, and ongoing mattersHelp organize and track agreements across vendors, retail, and partnersVendor setup and complianceSupport onboarding of vendors and partners including documentation and system setupEnsure required documents, agreements, and information are complete and up to dateMaintain organized vendor records across systemsHelp ensure ongoing compliance with partner requirementsHR supportAssist with employee onboarding and offboarding logisticsHelp maintain employee records and internal documentationSupport basic HR processes, policies, and coordination with external providersAssist with benefits administration and general employee supportExecutive supportAssist the CEO & COO with administrative, financial, and operational tasksHelp track priorities, follow-ups, and key initiativesPrepare materials, summaries, and information needed for decision makingOffice management and internal systemsHelp manage day-to-day office operations and needsMaintain internal systems, tools, and shared resourcesKeep files, processes, and documentation organized across the companySupport onboarding logistics and general office coordinationWhat We're Looking For3 to 6 years in finance ops, accounting support, legal ops, or a similar roleExperience with receivables, invoicing, or credit managementComfortable managing banking activity and financial processesStrong Excel skills and comfort working with data and reportingStrong attention to detail and organizationExperience working with contracts or legal coordination is a plusExperience in CPG, retail, or e-commerce is a plusWhat You're LikeYou are organized, proactive, and detail-orientedYou follow through and keep things movingYou are comfortable with numbers and working across teamsWhy You'll Love Working HereAt Speks, you will join a small, sharp team in a bright Brooklyn office.
