Project Coordinator
We are seeking a detail-driven, highly organized Project Coordinator to support day-to-day project management and account operations for a creative and marketing environment. This role is ideal for someone who thrives in a fast-paced setting, can work independently, communicates clearly, and ensures projects move forward on time, within scope, and within budget. The Project Coordinator will interface with internal teams and external stakeholders, prepare project documentation, track budgets, and support creative development cycles. Duration: 6 months in duration Hours: 40 hours per week, Hybrid: Requires onsite work in Irvine, California. Top 3 required qualifications: A bachelor's degree plus at least two years of professional experience in advertising, finance, marketing, or a service-driven business environment. Strong administrative and organizational skills with the ability to manage multiple projects independently. Excellent interpersonal and communication skills with proficiency in Microsoft Word, Excel, PowerPoint, and Outlook. Responsibilities: Managing day-to-day project details from initiation through completion and ensuring timelines and budgets are met. Communicating project status clearly to internal teams and management. Troubleshooting scheduling or workflow challenges to maintain momentum. Ensuring estimates, billing, timelines, and project documentation are completed accurately and on time. Preparing materials for external review processes including gathering references and required documentation. Coordinating with external stakeholders regarding approvals, schedules, and deliverables. Supporting creative development by participating in working sessions and providing relevant project insights. Developing accurate project estimates, monitoring expenditures, providing regular budget versus actual reporting, communicating budget parameters to creative and production teams, and partnering with project or traffic management to ensure cost control. Gathering project inputs and creating thorough project requisitions, maintaining and distributing status reports, drafting and distributing meeting summaries and conference reports, creating and managing additional account documentation, and supporting administrative tasks such as opening jobs, organizing files, archiving materials, and preparing reports.
