PositionSummaryWe are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide high-level administrative support to senior leadership. The ideal candidate will act as a trusted partner to executives, managing schedules, coordinating communications, organizing meetings, and ensuring day-to-day operations run smoothly. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment.Key ResponsibilitiesManage and maintain executive calendars, including scheduling meetings, appointments, and travel arrangementsCoordinate internal and external meetings, including preparing agendas, presentations, and meeting materialsScreen and prioritize incoming communications (emails, calls, and messages)Track deadlines, follow up on action items, and ensure timely completion of projectsCoordinate logistics for meetings, events, and executive travel (flights, accommodations, itineraries)Maintain confidential records and handle sensitive information with discretionAssist with project coordination and administrative support across departmentsSupport operational tasks such as expense reporting, vendor coordination, and document managementIdentify opportunities to improve administrative processes and workflowsLight accounting duties as needed – training will be providedRequired Qualifications3–5+ years of experience supporting senior executives or leadership teamsExceptional organizational and time-management skills with the ability to prioritize multiple tasksStrong written and verbal communication skillsHigh level of professionalism, discretion, and confidentialityProficiency with office productivity tools (Microsoft Office Suite, Google Workspace, etc.)Experience coordinating travel, meetings, and executive schedulesAbility to work independently and anticipate executive needsPreferred QualificationsExperience supporting C-suite executivesProject management experience or certificationExperience in a closely held family corporationKey SkillsOrganizational and planning skillsAttention to detailProblem-solving and critical thinkingProfessional communication and relationship managementTime management and multitaskingAdaptability and proactive thinkingWork EnvironmentThis role operates in a professional office environment and may require occasional extended hours to support executive priorities and events.Rivermaid Trading Company is an Equal Opportunity Employer – Minorities, Females, and Veterans are encouraged to applyJ-18808-Ljbffr
