This role is central to ensuring seamless day-to-day operations, requiring strong attention to detail, sound judgment, and the ability to manage multiple priorities in a fast-paced environment.Key ResponsibilitiesProvide high-level, on-site administrative support to the OMPManage a complex calendar in Microsoft Outlook, ensuring accuracy and resolving scheduling conflicts proactivelyOversee email communications, draft responses, and ensure timely follow-upCoordinate meetings, conference calls, and video conferencing (WebEx, Teams, etc.)Support travel planning, maintain travel profiles, and manage itinerariesPrepare, review, and submit expense reports in accordance with guidelinesMaintain daily time tracking and assist with reporting needsAssist with CPE/CPA-related tasks and other professional requirementsCoordinate office and conference room reservations, including catering arrangementsPlan and support meetings, events, and client engagementsArrange client and staff gifts as neededEdit, format, and distribute communications, including monthly newslettersConduct research and compile information to support business initiativesUpdate professional profiles and assist with marketing-related activitiesFacilitate document preparation, formatting, and electronic signaturesProvide light technical support for Microsoft Office and meeting technologyOffice & Operational SupportMaintain organized, functional, and presentable shared spaces and meeting areasConduct routine floor checks to ensure office standards are upheldMonitor and restock office supplies as neededAssist with meeting room setups, including basic A/V support and troubleshootingCoordinate with vendors and oversee on-site servicesSupport hands-on tasks such as moving materials or setting up spaces when neededEnsure storage areas remain clean, organized, and compliant with safety standardsQualificationsPrevious experience in executive or administrative support rolesStrong proficiency in Microsoft Office Suite and collaboration toolsExceptional organizational and multitasking skillsClear and professional communication skillsAbility to work independently and handle shifting priorities with easeDetail-oriented with a proactive, solutions-focused mindsetOpensity Solutions, provides equal employment opportunity to all individuals regardless of their race, color, creed, religion, gender, age, sexual orientation, national origin, disability, veteran status, or any other characteristic protected by state, federal, or local law.$17.18 - $44.08
