JOB The Library & Tutoring Center Lead guides library, tutoring, and student computer center activities at the Yamhill Valley campus. The Lead is responsible for maintaining a positive customer service environment, coordinating staffing, and training part-time hourly and student staff. This position works closely with the Coordinators (Academic Support Center Manager and the Access Services and Student Computer Center Manager) to ensure consistency across service points throughout the district. EXAMPLE OF DUTIES Essential Functions: Academic Support Center (including Tutoring Services) Operations and Library and Tutoring Center Operations (including Student Computer Center)The YVC Library and Tutoring team, under direction of coordinators, is responsible for promoting the Academic Support Center services (including tutoring) to Salem and Yamhill campuses, in Woodburn, and other outreach locations through class visits, marketing material, and collaborative partnerships with instructorsCollaborates to create and maintain Center policies, procedures and standards. Assists the Center Manager with ensuring compliance with internal and external policies, procedures and standardsAssists with development and management of remote and online tutoring services Develops strategies for remote tutoring, including best practices for Zoom sessions; manages tutors’ remote tutoring experiences through frequent check-insDevelops and manages student access to remote tutoring through manual integration of EAB Navigate with Zoom for each tutorReviews recorded remote sessions, as needed, for quality control and training.Assists with maintaining our consortial relationship with the Western eTutoring Consortium, ensures tutors are trained to work with the consortium, assists with any quality control or employee concernsCollects data regarding utilization rates of all tutors, (individually and collectively and across each discipline area) of the Academic Support Center and Tutoring Services as a wholeMakes recommendations to the Coordinator on service and program adjustments based on data analysisTracks and reports data required for various federal grantsAs part of a team, is responsible for all elements of the Academic Support Center and the Yamhill Library and Tutoring Center daily operations, including supervision of tutors and front desk staff, provision and creation of resource material for tutors and students, and management of appointment booking technologyTrains tutors in handling difficult sessions; may work with the student and tutor to resolve conflicts or problemsFields complaints, student behavior issues, and other conflicts in the Center and reports to the Academic Support Center Manager and the Access Services and Student Computer Center Manager any severe or ongoing issuesWorks with Salem Student Computer Center staff to ensure ongoing Student Computer Center operations at the Yamhill campus are running and in alignment with the Salem campusUnder the direction of the Access Services and Student Computer Center Manager, responsible for promoting and providing access services and student computer center services to Yamhill students in alignment with Salem campus servicesStudent & Hourly Employee SupervisionCreates a term by term schedule for part-time hourly and student staff based on budgets, department need, and staff availabilitySchedules tutors to provide coverage in multiple subject areas including for both core classes (such as math, writing, and science) and elective courses (music, history, etc.)Recruits for subject-specific tutors when lacking in coverageSchedules tutors to meet faculty requests for embedded tutoring (tutors within the classroom) and facilitates liaison work between tutor and instructor for these arrangementsRecruits front desk staff through the drafting and posting of current job descriptions; interviews and hires prospective front desk candidates; completes related paperwork and processes including calling references, filling out reference forms, communicating team decisions to Human Resources, and offering the position to selected candidates; schedules the front desk staff and supervises their workloadProvides supervision for student tutors and part-time tutors; observes and evaluates performance periodically through a College of Reading and Learning Association (CRLA) approved process; gathers availability for individual tutors to create personal and master schedules; completes and verifies timesheets for the college on a monthly basisEnforces college and department employment procedure; when necessary, collaborates with team and tutors/front desk staff to create improvement plans; terminates employees when necessaryTutor Training Program and Professional Development of StaffDevelops and implements 30 + hours of College of Reading and Learning Association (CRLA) approved curriculumContributes to creation and development of a variety of professional development opportunities for tutorsDelivers training to both department tutors and those from external Chemeketa departments; maintains certification records for department tutors and external tutors to certify them in the CRLA training programDepartment Liaison and Instructional SupportEvaluate tutors’ competency in area of expertise.
