We have an immediate opening for a Purchasing Assistant at our Headquarters in Anaheim, CA.Job SummaryUnder the supervision of the Purchasing Agent, the Purchasing Administrative Assistant will provide efficient and effective support for the purchasing department. We are looking for a highly motivated individual that is detail-oriented and have excellent customer service skillsKey ResponsibilitiesMaintain open and backorder reportsPopulate, delete, update the purchasing system with new items numbers, description’s, pricing, etc.Generate monthly and semiannual reportsMatch purchase orders with packing slips ensuring all material have been receivedDistribute Physical inventory sheets to all offices on a monthly basisEnsure all monthly physical inventory sheets are returned by the due dateAssist the Purchasing Agent in achieving company and department goalsEnsure timely closing of purchase ordersDevelop and maintain necessary records and files for efficient purchasing operation, SDS’s, etc. Assist with sourcing and securing quality materials with existing and new suppliers.Obtain quotations from preferred supplier base with directionAssist with processing system generated purchase orders, purchase change orders when neededAssist with daily documentation to support the procurement process including obtaining documentation for pricing, certifications, returned material authorizations, purchase agreement data, acknowledgments, etc.Performs other duties as assignedTechnical Skills: Must be proficient in MS Office specifically Excel is required, Timberline/Sage software’s, Google Mail, and PC.Communication SkillsFluent English, both oral and written. (Bilingual: English/Spanish is a plus)Excellent communication skills with a positive and outgoing demeanorWork Environment: This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, faxes, and e-filling.Physical Demands: While performing the duties of this job, the employee is regularly required to talk and hear.
