Executive Assistant – Real Estate Development (Bilingual Spanish)

EXECUTIVE ASSISTANT WANTED NOW
We are a real estate development company seeking a highly organized, proactive Executive Assistant who is fluent in Spanish and English and comfortable working in person across offices and active job sites. This role is critical in supporting leadership, coordinating with contractors and vendors, and ensuring smooth day-to-day operations across multiple development projects.
This is not a virtual position. The ideal candidate is polished, dependable, and confident communicating with contractors, consultants, city offices, and internal stakeholders — often in Spanish.
RESPONSIBILITIES:
Executive & Administrative Support
Manage calendars, meetings, site visits, and travel for executives
Handle emails, calls, and correspondence in both English and Spanish
Prepare reports, presentations, and internal documentation
Maintain organized digital and physical filing systems
Project & Job Site Coordination
Attend job sites and act as a liaison between executives and contractors
Coordinate schedules with architects, engineers, inspectors, and vendors
Track permits, inspections, invoices, and project documentation
Assist with bid packages, proposals, and construction admin tasks
Bilingual Communication
Translate verbal and written communication between English- and Spanish-speaking parties
Draft professional emails, notices, and documents in both languages
Support negotiations, walkthroughs, and meetings with Spanish-speaking contractors or partners
QUALIFICATIONS:
Fluent in Spanish and English (spoken and written — required)
3+ years experience as an Executive Assistant, Project Coordinator, or Administrative Manager
Experience in real estate, construction, development, architecture, or property management preferred
Comfortable working on-site and traveling locally to job sites
Strong organizational skills and ability to juggle multiple projects
Professional demeanor with contractors, city officials, and executives
Preferred Skills (Nice to Have)
Familiarity with real estate or construction terminology
Experience with permits, inspections, or city departments
CRM, Excel, Google Workspace, or project-management tools
Valid driver’s license and reliable transportation

Weekends as needed

Flexible to meet on location properties if needed as well
