Position Summary
We are seeking a proactive and highly organized Executive Assistant to provide seamless support to our executive team. The ideal candidate thrives in a fast-paced environment, demonstrates exceptional attention to detail, and can manage multiple priorities with confidence and discretion. This role is instrumental in ensuring the efficiency and effectiveness of our leadership team’s day-to-day operations.
Key Responsibilities
Calendar Management: Coordinate complex and dynamic Outlook calendars for multiple executives, including frequent adjustments, scheduling, and confirmation of meetings and calls.
Daily Briefings: Provide a comprehensive day-before calendar view—including locations, contact information, and relevant materials—via Outlook and CRM to ensure executives are fully prepared.
Communication: Screen and manage phone calls and messages based on each executive’s preferences.
Travel Coordination: Arrange all travel logistics, working closely with the internal Travel Department to align schedules across team members.
Expense Management: Submit and track corporate credit card expenses, ensuring timely approvals and accurate reporting to Accounts Payable.
Information Management: Maintain updated contact lists, org charts, and other key documents.
Follow-Up: Monitor outstanding tasks and information from internal teams and follow up as needed.
Document Preparation: Create meeting agendas, memos, reports, PowerPoint presentations, and other written materials as requested.
Data & Reporting: Support executives with daily/weekly reports, run analyses from MicroStrategy, and assist with ad hoc projects.
Office Support: Order and maintain supplies for the copy room, kitchen, and general office needs.
Meeting Support: Attend meetings and take detailed notes when requested.
Qualifications & Skills
Bachelor’s degree required.
Minimum of 3 years of experience in an administrative or executive support role.
Background in a fast-paced, dynamic environment; experience in manufacturing a plus.
Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint) CRM, and Keynote software
Exceptional organizational skills and attention to detail.
Strong communication skills, both written and verbal, with a professional and polished demeanor.
High level of discretion, integrity, and judgment in handling confidential information.
Self-starter with the ability to anticipate needs, prioritize effectively, and adapt quickly.
Natural multitasker and problem solver who brings a positive, can-do attitude.
Team player with a friendly, collegial personality and willingness to help where needed.
Job Type: Full-time
Pay: $35,000.00 - $75,000.00 per year
