Design Coordinator
As a Design Coordinator at Bear, you play a critical role in ensuring our event designs are accurate, complete, and fully prepared for execution. This position supports our Event Designers by owning the refinement, coordination, and final preparation of proposals—bridging the gap between design vision and production reality.You will work across the full pipeline of events, supporting 20–40 active events per month, ensuring that every proposal is thoroughly vetted, clearly communicated, and ready for a seamless handoff to our logistics and production teams.This role requires a strong attention to detail, an understanding of design environments, and the ability to manage a high volume of moving pieces. While you will contribute to smaller proposals and client requested edits, your primary responsibility is to take full ownership of proposal readiness, ensuring designs are cohesive and fully audited before handing it over to production.You will report to the Lead Event Designer and work closely with Event Designers, Production Leads, Warehouse, and Creative teams.Your responsibilities:Serve as the final quality control checkpoint for all proposals, ensuring they are cohesive, accurate, and fully prepared for execution, identifying and resolving missing elements, inconsistencies, or risks prior to handoffEnsure all elements of the proposal are aligned with our inventory, place any orders for products or subrentals, and work with creative teams to ensure all requirements are sharedCommunicate directly with clients to manage updates, maintaining accuracy across proposals, design boards, and supporting materialsBuild and manage proposals your own proposals for simple rental orders and smaller events, applying our standards for pricing, logistics, and required cost elementsBuild a deep understanding of Bear's inventory, capabilities, installation methods, and production constraints to ensure all design decisions align with our ability to support client requirementsCoordinate subrentals and external orders required for event executionTrack, organize, and support reporting on active projects, including weekly and quarterly data needsSupport the Lead Event Designer and design team with coordination, scheduling, and administrative needs related to business development or other outbound marketing effortsProvide thoughtful input on inventory development, purchasing decisions, and creative builds for our inventoryRepresent Bear with excitement and positivity at industry and networking events in a fun, professional mannerWho you are:Highly organized with exceptional attention to detailAble to manage multiple projects at different stages in a fast-paced environmentA proactive problem solver who identifies issues and develops solutions before they become problemsClear and effective communicator, both written and verbalComfortable making decisions independently while knowing when to seek inputAdaptable and steady under pressure with a strong sense of urgencyConfident, positive, collaborative, and able to build trust with both clients and team membersRequirements:2+ years' experience working in design-driven environments (events, interiors, experiential, or similar) or design-related coordination roleProficiency in Microsoft Office and comfort working in project management and CRM softwareWorking knowledge of Adobe Creative Suite (Illustrator, InDesign, Photoshop) preferredAbility to work independently while managing multiple projects, timelines, and prioritiesExcellent written and verbal communication skillsUnderstanding of the event production process and how design translates to executionAbility to interact with clients professionally and confidentlyValid driver's license and reliable transportationWhy Bear?Bear Event Design is a creative event design and rental company serving Denver and the Rocky Mountain region.
