Role Estimator & Project Manager Industry Experiential Events, Brand Activations, Marketing Event Types Pop-Ups, Brand Activations, Bar/Bat Mitzvahs, Corporate Events Reports To Creative Director / Operations Lead Employment Full-Time Key Skills Estimating, Project Management, Vendor Coordination, Production About the Role We are looking for a sharp, detail-oriented Estimator & Project Manager to join our growing team. This is a dual-function role at the heart of how we bring extraordinary experiences to life — you will own the entire lifecycle of a project, from scoping and quoting to on-site execution. You will work hand-in-hand with our creative and production teams to translate concepts and design briefs into accurate, profitable budgets — then lead those projects through to flawless delivery. The ideal candidate has a deep understanding of fabrication, print, and event production costs, and can juggle multiple projects simultaneously without missing a beat. Key Responsibilities Estimating & Quoting Develop comprehensive, line-itemized quotes based on design briefs, scope documents, and client conversations Price custom cabinetry and millwork based on square footage, material, and complexity Source and quote vinyl wraps, large-format printing, and graphics production Estimate all labor costs including fabrication, install crews, and on-site staffing Coordinate delivery and logistics pricing including freight, drayage, and local transport Source rental items (furniture, AV, lighting, linen, etc.) and incorporate into master estimates Identify and price any specialty elements: floral, custom props, technology builds, activations Present and defend quotes internally and to clients; revise as needed through approval process Project Management & Execution Own the project from signed contract through post-event wrap-up Build detailed project timelines, production schedules, and task lists Coordinate all vendors, subcontractors, and internal departments Manage purchase orders, vendor contracts, and change orders Required Qualifications 3+ years of experience in event production, fabrication, or experiential marketing Proven ability to build accurate, detailed cost estimates from scratch Solid working knowledge of cabinetry/millwork pricing (sq ft-based costing a plus) Familiarity with vinyl, print, and signage production pricing Experience coordinating labor, delivery, and logistics for live events Exceptional organizational skills — able to manage multiple projects simultaneously Strong communicator: able to interface with clients, vendors, and internal teams confidently Proficiency in Google Suite, Excel, and project management tools (Asana, Monday.com, etc.) Flexibility to work evenings and weekends as events require Preferred Qualifications Experience across event types: brand pop-ups, corporate, private social (Mitzvahs, galas) Existing relationships with vendors in print, fabrication, AV, rentals, and staffing Background in or exposure to millwork, carpentry, or scenic fabrication Experience with estimating software or custom quoting systems Familiarity with permit requirements, venue logistics, and union labor rules PMP certification or formal project management training (a bonus, not required)
