SUMMARY: To perform a wide range of office related functions for the Bureau of Mechanical Services. See Per 405.01 . 18 Months of additional relevant experience = Associate's degree 36 Months of additional relevant experience = Bachelor's degree 54 Months of additional relevant experience = Master's degree MINIMUM QUALIFICATIONS: Education: High school diploma or high school equivalency credential. Each additional year of approved formal education may be substituted for one year of required work experience. Experience: Three years of experience in a clerical position including supervisory experience. License/Certification: None Required RECOMMENDED WORK TRAITS: Knowledge of modern office practices, procedures and equipment. Knowledge of English, spelling and arithmetic. Knowledge of office record keeping and reporting. Knowledge of departmental policies, rules, regulations, procedures, organization and function. Knowledge of state governmental organization and of occupations common to public organizations. Knowledge of the principles and practices of public administration. Knowledge of sources of information and the methods and techniques used in administrative research. Ability to gather, assemble, correlate and analyze facts and identify existing or potential problems. Ability to conduct studies and analyses contributing to the development of sound operational procedures. Ability to present ideas clearly and effectively orally and in writing. Ability to establish and maintain effective working relationships with other employees and the general public. Must be willing to maintain appearance appropriate to assigned duties and responsibilities as determined by the agency appointing authority. RESPONSIBILITIES: Audits timesheets and leave slips for completeness and accuracy for all Bureau employees and prepares the payroll for audit. Maintains leave records and responds to all requests for information regarding leave time. Runs leave audit reports utilizing NH First for all bureau employees. Serves as MATS Labor and Equipment Manager I for the Bureau. Performs all functions of the pool vehicle reservation system including making reservations, tracking utilization and running various reports. Works with operators to maintain accurate records. Makes maintenance appointments, tracks mileage, and runs mileage reports. Performs secretarial, clerical and receptionist duties, maintains Bureau inventory of office supplies and maintains building visitor log. Distributes information and correspondence from the Bureau mail distribution center and Bureau e-mail to enhance the operation capability of administrative office support functions. Updates and maintains the annual vehicle inventory, tool inventory, tool acquisitions and inventory to surplus. Assembles and reconciles financial data associated with the acquisition, operation, repair and sales of the Department’s fleet vehicles and equipment as needed. Reconciles financial records to provide financial tracking and budget control of specific Bureau projects as needed. Assists with the preparation of payment documents charged to Bureau accounts as needed. Assists with maintaining vehicle registrations for the Department’s fleet by organizing and distributing registrations to the respective Bureaus and Districts. Performs administrative duties in the absence of the Administrative Secretary. Cross trains and provides coverage for other support staff.
