Group Rooms Coordinator

ESSENTIAL JOB FUNCTIONS:Enter, maintain, and update group room blocks in the property management and reservation systemsMonitor group pick-up and communicate updates to the Sales and Revenue teamsProcess and manage group rooming lists, reservations, and changes prior to arrivalCoordinate with Front Office to ensure accurate group arrival preparation and room assignmentsReview and manage group billing, routing, and payment instructions in accordance with contractsAssist with group master account setup and ensure accurate folio routing and chargesTrack group inventory and ensure room blocks are managed in accordance with hotel revenue strategiesCommunicate directly with meeting planners regarding rooming lists, reservations, and billing detailsEnsure all group reservations are entered accurately and deadlines are metMaintain organized group files and documentation to support internal audits and reportingProvide administrative support to the Sales team as needed to ensure successful group executionPerform any other job-related duties as assigned.Preferred Qualifications:Self-starting personality with an even disposition.Maintain a professional appearance and manner at all times.Be able to effectively communicate with guests and team members.Must be willing to "pitch-in" and help co- workers with their job duties and be a team player.Ability to effectively deal with internal and external customers. Previous hotel reservations or group housing experience preferred.Experience with CI/TY, Lightspeed PMS, and MARSHA reservation systems strongly preferred.Strong attention to detail, organization, and customer service skills.Ability to manage multiple priorities in a fast-paced hospitality environment.PERFORMANCE STANDARDSCustomer Satisfaction:Our customers are what we are about.
