PRIMARY PURPOSE
Under moderate supervision, the Receptionist serves as the first point of contact for Tejano Center's central administrative offices. This role is responsible for responding to inquiries from staff, students, parents, community partners, vendors, and the general public; providing accurate information or referrals; directing visitors in accordance with organizational safety and security protocols; and providing general clerical support to ensure the efficient operation of the Executive Office.
QUALIFICATIONS
Education / Certification
High school diploma or GED required
Special Knowledge / Skills
Ability to operate a multi-line phone system
Strong public relations and customer service skills
Effective organizational, communication, and interpersonal skills
Ability to speak, read, and understand English
Ability to read and comprehend written instructions and procedures
Ability to effectively present information in one-on-one interactions
Proficient in keyboarding, 10-key numerical data entry, and file maintenance
Ability to maintain professionalism while interacting with diverse populations, including families, students, and community stakeholders
Experience
Minimum of one (1) year of clerical or receptionist experience in an office or administrative setting preferred
MAJOR RESPONSIBILITIES AND DUTIES
Reception and Telephone Operations
Receive, screen, and direct incoming calls; take accurate and reliable messages; and route calls to appropriate Tejano Center staff.
Greet and assist visitors (including parents, students, staff, substitutes, vendors, and community members) in a courteous and professional manner.
Respond to inquiries and direct visitors to appropriate personnel in accordance with Tejano Center policies and building security procedures.
Maintain visitor sign-in logs and issue visitor badges or passes as required.
Respond to emergency calls or urgent situations and promptly notify appropriate administrative, safety, or security personnel.
Receive deliveries, packages, and correspondence and distribute materials to appropriate departments or staff.
Clerical and Administrative Support
Provide clerical and administrative assistance to the Executive Office as assigned.
Compile, maintain, file, and retrieve reports, records, and other documents in both electronic and physical formats.
Maintain strict confidentiality of student, employee, and organizational information at all times.
Follow Tejano Center safety protocols, emergency procedures, and internal operational guidelines.
