Legal Practice Assistant

Job DescriptionCozen O'Connor has an excellent opportunity for an experienced Legal Practice Assistant to join our West Palm Beach office. This position supports several attorneys as primary assignments and also provides backup assistance to others as assigned when needed.The ideal candidate is an enthusiastic self-starter who thinks strategically and can act independently. The position requires excellent communication, organizational, and computer skills and the ability to interact with clients and people at all levels of the firm.ResponsibilitiesMaintain attorney's calendar; follow-up as needed and confirm various meetings throughout the workdayManage attorney phone calls, including receiving/screening calls and setting up conference callsType, transcribe and revise all communications and legal documents including memoranda, correspondence, legal documents, charts and tables using various word processing softwareParticipate in weekly meetings and manage the agenda and minutesProofread all work for both content and contextMake extensive travel arrangementsTrack, compile, organize, and submit expense reimbursements and vendor invoices into the firm's finance database (Chrome River)Prepare and submit conflict checks and New Matter Intake FormsPrepare, proofread, and process engagement/acknowledgement letters and other correspondenceOpen, organize, prepare and maintain client and office files both in electronic and paper filing systemsAssist with closing files per department protocol upon file conclusionUse the Firm's docketing program. Enter all required scheduling and dates in the programElectronically file documents with the courtsFill out, revise and/or update information for Status ReportsCoordinate CLE training classesProcess attorneys' weekly time summaries and expense reports and meet the weekly deadline for reporting such items to ensure that attorney records are processed in a timely mannerMonitor emails for both self and attorneys being supportedCoordinate, schedule and docket/calendar meetings, court reporters, conference calls and client tasksMaintain calendars, schedule appointments, and coordinate all details for client/guest meetings, including breakfasts, lunches, and dinnersAssist in obtaining and reserving conference rooms for depositions and meetings, including confirming videoconferencing needs and attendee numbersMaintain client contact lists for marketing eventsQualificationsMust have at least 2 years' legal and/or executive secretarial experienceExtensive and thorough working knowledge of software applications as tools to complete assigned tasks, including, but not limited to iManage/DeskSite/WorkSite, Word, PowerPoint, Excel, InTapp, Big Hand, Docket Enterprise, DTE, ChromeRiver preferredProficient in advanced levels of Microsoft Outlook, Teams, Excel and Word and the use and application of Styles, Redlining, Adobe Pro and PDF Docs4. If not proficient, must be able to operate the Firm's software applications on an advanced level within a reasonable period of timeTyping skills of 60+ w.p.m.Detail-oriented with strong organizational skills and the ability to multitask and problem-solve. Strong Project management skills are requiredOutstanding written and verbal communications. Must be able to interact with clients, attorneys, and staff professionallyExperience with efiling in both state and federal courtsAssignments may change from time to time, and flexibility is essential.
