Office AdministratorThe Office Administrator will oversee the daily administrative operations of the shop, ensuring smooth workflow between front office, mechanics, and customers. This role is essential in maintaining accurate records, coordinating schedules, and supporting the management team in all administrative functions.
Key Responsibilities:
Greet customers and handle inquiries in person and over the phone.
Manage appointment scheduling, service orders, and customer follow-ups.
Maintain accurate records of customer information, vehicle service history, and billing.
Handle accounts receivable and payable, including invoicing, payments, and basic bookkeeping tasks.
Assist management with reports, correspondence, and office organization.
Order office supplies and maintain inventory of administrative materials.
Support HR-related tasks such as employee onboarding, scheduling, and record keeping.
Coordinate communication between mechanics, service advisors, and management.
Ensure the office operates efficiently and maintains a professional environment.
Skills and Experience:
Previous experience in office administration, preferably in automotive or service industries.
Proficient in Microsoft Office Suite (Word, Excel, Outlook).
Strong organizational, multitasking, and communication skills.
Ability to work independently and as part of a team.
Attention to detail and ability to maintain confidentiality.
Additional Skills (Preferred):
Basic accounting or bookkeeping experience.
Familiarity with automotive service software or customer management systems.
