Executive Assistant to CEO of a Commercial Flooring Company in Midtown
Executive AssistantOur client, a family-owned commercial flooring company with a national presence, is seeking an Executive Assistant to provide high-level administrative support to the CEO. The Executive Assistant will be a true partner to the CEO and also assist in supporting both day-to-day operations and Board-related responsibilities. This role is central to ensuring the efficiency and effectiveness of the executive office, managing complex scheduling, coordinating high-level meetings, and facilitating communication across internal teams, clients, and external stakeholders.The ideal candidate is highly organized, proactive, and detail-oriented, with the ability to anticipate needs, manage competing priorities, and operate with a high level of discretion. This individual will play an integral role in supporting executive initiatives, special projects, and overall office operations in a fast-paced, hands-on environment. This role is in office five days per week with 24/7 availability as needed.ResponsibilitiesManage CEO calendar, schedule meetings, and coordinate appointments with internal teams, vendors, and clients.Organize and prepare materials for executive meetings, including agendas, presentations, reports, and minutes.Handle on behalf of the CEO all correspondence and communication on behalf of the executive team, including emails, phone calls, and written communication.Compose drafts of routine business correspondence including letters and emails.Maintain files and contact databases.Review and approve travel expense reports.Reconcile company credit cards charges for CEO and management.Coordinate travel arrangements, accommodations, and itineraries for executives and visiting stakeholders.Assist with tracking key project deadlines and deliverables, providing follow-ups as needed.Perform special projects as assigned.Liaise with vendors, subcontractors, and internal departments to facilitate executive initiatives.Provide support for Board activities.Maintain and organize confidential files and corporate records.Perform office management tasks such as ordering supplies, coordinating office maintenance, and managing service providers.Coordinate internal and external company events.RequirementsBachelor's degree preferred or equivalent work experience.Minimum five years of experience supporting executives in a fast-paced environment; industry experience in construction, flooring, or manufacturing is a plus.Strong organizational and time management skills.Multi-task oriented.Excellent written and verbal communication.Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).Ability to handle sensitive and confidential information with discretion.Exceptional attention to detail and problem-solving abilities.Ability to manage multiple priorities with minimal supervision.Ability to work in a fast-paced environment.Ability to interact with all levels of personnel.Proactive individual and ability to drive coordination of meetings.Must be flexible, responsive and resourceful.Hours: 8:00/8:30am - 5:00/5:30pm, five days in office.Salary + Benefits: $100-140K (DOE) + benefits + 401K with 3% match.
