Executive Assistant to Chief Operations Officer

Position SummaryWe are seeking a highly organized, proactive, and detail-oriented professional to work closely with the Chief Operating Officer (COO) in supporting daily operations, compliance initiatives, marketing efforts, event planning, and organizational coordination. This role requires strong multitasking abilities, excellent communication skills, discretion with confidential information, and the ability to manage multiple projects in a fast-paced environment.The ideal candidate will serve as a key operational support partner to the COO, helping ensure efficiency, accountability, and smooth execution across departments and company initiatives.Key Responsibilities Executive & Operational SupportWork directly with the COO to support day-to-day business operationsAssist in implementing operational strategies, processes, and company initiativesCoordinate internal communications and follow-up on action itemsPrepare reports, presentations, meeting agendas, and operational documentationMonitor deadlines, priorities, and ongoing projects to ensure timely completionAssist with process improvement and workflow organizationCompliance & Administrative OversightSupport company compliance efforts by maintaining accurate records and documentationTrack regulatory requirements, deadlines, certifications, and filingsAssist with policy updates and internal compliance proceduresMaintain organized digital and physical filing systemsEnsure confidentiality and proper handling of sensitive company informationHelp coordinate audits, inspections, and compliance reviewsMarketing & Brand SupportAssist with marketing campaigns, promotional materials, and brand coordinationCoordinate social media scheduling, email communications, and marketing calendarsHelp manage vendor relationships, advertising materials, and promotional inventorySupport content organization for newsletters, presentations, and company communicationsTrack marketing initiatives and campaign performance metricsEvent Planning & CoordinationCoordinate company meetings, conferences, networking events, and special projectsManage event logistics including scheduling, vendors, venues, catering, and materialsAssist with travel arrangements and itinerary planningEnsure events are professionally organized and executed efficientlyMaintain event budgets, timelines, and post-event reportingOrganization & Record KeepingMaintain accurate operational records, databases, and project tracking systemsOrganize calendars, schedules, and departmental coordination effortsTrack contracts, invoices, vendor information, and operational documentsAssist with inventory tracking and office management functionsEnsure all records are updated, accessible, and compliant with company standardsCross-Department CoordinationServe as a liaison between leadership, staff, vendors, and external partnersCoordinate communication and follow-through across departmentsAssist with onboarding, training coordination, and employee support activitiesHelp manage special projects and company-wide initiativesSupport leadership with problem-solving and operational planningQualificationsOur #1 requirement is a good attitude, we can train anyone who possesses that!2+ years of administrative, operations, compliance, or executive support experience preferredStrong organizational and time-management skillsExcellent written and verbal communication abilitiesProficiency in Microsoft Office, Google Workspace, and project management toolsAbility to prioritize multiple tasks and work independentlyHigh level of professionalism, discretion, and attention to detailExperience with event planning, marketing coordination, or compliance support is a plusPreferred SkillsProject management experienceKnowledge of business operations and administrative proceduresExperience with CRM systems, scheduling software, or compliance tracking toolsAbility to anticipate needs and solve problems proactivelyStrong interpersonal and relationship-building skillsWork EnvironmentFast-paced, collaborative, and professional environmentOpportunity to work closely with executive leadershipRole may require occasional evening or weekend availability for events or special projectsPosition TypeFull-TimeSalary based on experienceSalary range to start 40-50k with opportunity to raise this over time based on your performance
