Compliance and Assurance Intern

This position, under general supervision of the Manager of Procurement Services, is responsible primarily for the support of procurement for goods, services and construction involving Port staff and contractors; responsible for performing general procurement administrative tasks.Essential Functions:Perform general administrative duties, including typing, data entry, and maintaining organized paper and electronic filing systems in accordance with public records requirementsProvide support to Procurement staff with miscellaneous duties related to Port Authority operations and capital, operational, and professional service procurementsAssist in describing services to be rendered for Port procurements and evaluating information supplied by bidders and proposers for responsiveness and complianceAssist with processing requisitions and purchase orders related to port operations, equipment, services, and infrastructure projectsMonitor compliance with contract terms, Port Authority policies, and funding requirementsCoordinate and facilitate procurement related meetings as needed, including kick off meetings, pre proposal conferences, post award conferences, evaluation team briefings, and scoring sessionsAssist in negotiating contracts, contract renewals, and amendments under the direction of Procurement and Compliance staffAssist with preparing scopes of services for port related goods, services, and projectsAssist in preparing, compiling, and distributing contracting and procurement reports for internal departments and management reviewAdheres to Port policy and maintains good employee relationsCompletes assigned tasks and works required hours/shifts fulfill Port objectivesPerforms other related duties as assignedAdditional Physical Factors:While performing duties employee regularly required to sit, speak or hear, use hand finger movements; occasionally required to stand, walk, reach stoop, kneel and lift and/or move up to 30 pounds.Environmental Factors:General office environment; occasional exposure to adverse weather conditions.Minimum Qualifications:This position is an internship opportunity for candidates currently enrolled in an accredited college or university, pursuing a degree in Business Administration, Supply Chain Management, Accounting, Marketing, or a related field. Applicants must demonstrate strong written and verbal communication skills in English.Candidates should possess strong writing, editing, and visual/graphic communication skills, along with effective organizational and time-management abilities. Proficiency in the use of a personal computer, common business software applications, standard office equipment, and internet-based tools is required.
