The Revaire Venue Event Coordinator

JOB SUMMARYA Fare Extraordinaire (AFE), a full-service catering and event planning company, and its exclusive venue, The Revaire, is seeking an Event Coordinator for The Revaire who is passionate about the event and service industries. Our in-person, on-premise Event Coordinator is often the first person to connect with the venue's clients and potential clients, so they should give a positive first impression of both AFE and The Revaire. The Revaire Event Coordinator will support The Revaire Sales team with daily office duties and event execution. Office duties include fielding inquiries from potential clients, assisting with venue tours, building proposals, coordinating vendors, and maintaining organized event files. Event execution involves helping onsite with load in, load out, vendor management, timeline execution, and logistics of the event.For best consideration, please email your 1-page resume directly to resumes @ afehouston.com with the subject line "I read the The Revaire Event Coordinator job description on LinkedIn"RESPONSIBILITIESAnswer incoming inquiries via phone and emailRecord event inquiry information in venue database, CatereasePrepare paperwork and attend weekly department meetingsAssist with proposals and accurately making revisions based on client feedbackPlace and ensure accuracy of rental and vendor orders and make revisions as neededUpload all event related documents to digital event filesMaintain accurate and organized physical event filesCreate detailed event timelinesEnsure event payment deadlines are met for clients and vendorsSend vendor invoices to Accounting Department for paymentUpdate events with final guest countsConfirm vendors load in/load out schedules and share with Logistics DepartmentShare diagrams and communicate setup timeline prior to event date with Facilities CoordinatorWrite event notes for service staff pre-eventCreate bar and menu signage for events and tastingsAttend events and provide support overseeing load in, event execution, and load outCommunicate any building damages or repairs to Facilities CoordinatorSend review requests to clients via Captivated app post eventInvoice events post executionHandle laundering services of venue linensOpen and close the venue each dayOrder and replenish supplies for venue's suitesSchedule venue cleaning servicesSecure additional parking lot as needed based on event parametersManage venue air conditioning schedulePrepare the venue for tours and meetingsAttend and/or lead venue toursSKILLS & EXPERIENCEBachelor's degree in Hospitality, Communications, Business, or related field preferred; equivalent work experience consideredPrevious experience in events, hospitality, or catering industriesExperience with Adobe Suite, Canva, Social Tables or AllSeated a plusStrong organizational skills with the ability to manage multiple tasks and prioritize based on deadlines and importanceProficiency in database entry and comfort learning new event management software (experience with Caterease or similar systems a plus)Excellent written communication skills with accuracy in grammar, spelling, and punctuationPersonable, professional demeanor with the ability to work effectively across departments and with a wide variety of clients and vendorsProactive, adaptable, and solutions-oriented, with strong attention to detailAbility to work evenings, weekends, and extended hours as needed for event executionDESCRIPTION OF PACKAGEThis is a salaried, exempt positionOffice hours are Monday – Friday, 9 AM – 5 PMNights and weekend work required based on event scheduleHealth, vision, dental and life insurance, PTO, mileage and cell phone reimbursement, and 401K matching offered
