HOA Admin Assistant

*Position* Part-Time – 20 Hours Per Week Monday through Friday 9:00 a.m. to 1:00 p.m. Eligible for Bonus, Holiday and Sick Pay *Job Summary* The Office Assistant provides customer service to residents and guests, assists in the day-to-day operation of the 55+ HOA office, assists the HOA Board and committees as directed, assists vendors, maintains records, and helps ensure that community rules, procedures, and office operations are properly followed. *Primary Responsibilities* · Maintain regular office hours and provide friendly, professional customer service to residents, guests, and vendors. · Assist new residents with community orientation, including gate access, parking, pool and spa rules, clubhouse use, trash procedures, and other community information. · Respond to homeowner questions and refer matters to the Manager or HOA Board when appropriate. · Prepare and distribute notices, newsletters, correspondence, and other community communications. · Assist with the community calendar, bulletin boards, activity binders, and information kiosks. · Coordinate clubhouse reservations and conduct post-event inspections. · Assist with monthly statement process. · Maintain accurate homeowner records, contact information, gate codes, and vehicle information. · Maintain an inventory of Association keys and track keys that are loaned out. · Monitor the security camera system during office hours and report concerns or incidents to the Manager or HOA Board. · Input water readings. · Report property maintenance concerns and assist with coordinating vendors as needed. · Provide the RVPA Chairman with updated information for the monthly RVPA report. · Set up Zoom meetings and assist with other administrative tasks as needed. · Perform other duties as assigned by the Manager or HOA Board. · Schedule appropriate appointments on manager calendar. · Process homeowner payments. *Qualifications* · High school diploma or equivalent. · At least two years of customer service experience. · Proficiency in Microsoft Word and Excel. · Strong organizational and communication skills. · Ability to multitask, meet deadlines, and handle time-sensitive matters. · Dependable, professional, and courteous. · Ability to work independently and exercise good judgment. · Strong attention to detail. *Essential Requirements* · Ability to use a computer, telephone, copier/scanner, and other standard office equipment. · Ability to remain stationary for periods of time while performing office duties. · Ability to move throughout the community when necessary to perform job duties. · Ability to lift up to 35 pounds. Pay: $22.00 - $25.00 per hour Expected hours: 20.0 per week Work Location: In person
