Facilities Coordinator – On-SiteWhat this job involves:As a Facilities Coordinator at JLL, you'll serve as a vital operational partner to our Facility Management team, ensuring seamless day-to-day operations that keep our clients' workplaces running smoothly. This role combines administrative expertise with hands-on facility support, requiring you to monitor operations continuously, coordinate with property managers on routine tasks, and act as a key point of contact for clients, visitors, and vendors. You'll manage procurement activities including issuing purchase orders, coordinating bid requests, and overseeing service contracts while supporting accounts payable and receivable processes. We embrace more innovative ways of working and prioritize opportunities to strengthen and advance your career, making this an ideal role for someone looking to grow within facility management.What your day-to-day will look like:Provide continuous monitoring of office and facility operations, acting as the primary interface with clients, visitors, and guests to ensure exceptional service deliveryAssist the Facility Management Team with tactical planning and execution of team goals and objectives, supporting project management initiatives as neededManage procurement processes including property supplies and services, issue purchase orders, coordinate bid requests, and oversee service and construction contractsCoordinate maintenance activities and schedules, providing clear direction to vendors, facilities staff, and service providers to ensure excellent execution with minimal disruptionSupport special events, meetings, and conference room reservations in alignment with client needs and JLL requirementsAdminister and maintain all vendor security badging access and effectively, ensuring compliance with established protocolsAssist with budgetary requests, analysis, and reporting, including researching and documenting budget variancesProcess accounts payable and accounts receivable transactions accurately and in a timely mannerHandle small facility management tasks including office move coordination and all additional assignments as directed, ensuring timely completion and appropriate follow-up with customersRequired qualifications:Minimum 2-4 years of experience in Facility or Property AdministrationSuperior customer service skills with a strong client-oriented approachProficiency in Microsoft Office Suite with advanced Excel spreadsheet skills and capability to customize administrative reportsAbility to maintain professionalism at all times, especially under stressful situationsStrong organizational skills with the ability to plan and manage work under time constraintsAbility to multitask effectively and work independently without direct supervisionExcellent written, verbal, and interpersonal communication skillsPreferred qualifications:Associate's degree in facilities management, building management, business, or other related fieldBachelor's degree in facilities management, business, or related fieldExperience working in corporate or commercial real estate environmentsFamiliarity with facility management software systems and building automation platformsLocation: Rochester, MN or Raleigh, NCEstimated compensation for this position:($50,300- $61,000 USD) per year, depending on locationThis range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.This position does not provide visa sponsorship.
