Marketing Coordinator

You will be the operational hub for the team, owning budget tracking and invoice reconciliation, coordinating internal meetings and events, pitching in on social and light design, and helping wherever needed.
Essential Functions
Marketing Operations
Track the marketing budget by campaign and brand. Maintain monthly budget vs. actuals and accruals.
Reconcile vendor invoices and POs. Match to contracts or media plans, resolve discrepancies, and prepare clean handoffs to Accounts Payable.
Maintain vendor records and basic contract details.
Collateral and Asset Management
Own all collateral ordering, reprints, and promo item procurement. Source and manage print and swag vendors and quotes.
Maintain collateral from minor revisions to ordering.
Organize storage areas and the “collateral closet.” Manage kitting, shipping, and distribution to branches, events, and field teams.
Keep version control on PDFs and print files. Ensure brand guidelines are followed.
Coordination and Logistics
Schedule and coordinate internal meetings. Own agendas, notes, and follow-ups.
Support planning for community events, trade shows, and brand activations. Coordinate vendors, asset shipping, booth setups, and on-site needs.
Manage project timelines and task assignments to keep work on track.
Content, Design, and Social
Produce and update sales collateral and simple digital assets using brand guidelines.
Assist with social media calendars, posting, community management, and basic performance pull-ups.
Draft short form copy for ads, email, social, and printed pieces. Proofread for accuracy and tone.
Reporting and Team Support
Build simple weekly or monthly summaries for leadership.
Jump in wherever the team needs help. No task is too small.
Qualifications
Bachelor’s degree in marketing, communications, or related field, or equivalent experience.
2+ years in a corporate marketing department or at an agency preferred.
Working knowledge of social platforms and Adobe Creative Cloud (InDesign, Illustrator, Photoshop, Canva or similar).
Advanced Microsoft Office skills, especially Excel and PowerPoint.
