Visit davispolk.com.Position SummaryThe Administrative Assistant provides secretarial, technical and organizational assistance to lawyers and other managerial staff, as assigned. This is a dynamic position requiring the ability to demonstrate professionalism, effective communication skills and use of good judgment through understanding of the Firm’s policies as a valued member of a support team.Essential Duties And ResponsibilitiesTypical responsibilities include, but are not limited to, the following:Create, revise and print correspondence, memoranda and other legal documentsAnswer and place telephone calls professionally; take accurate and complete messagesReview electronic and physical mail and other correspondenceEstablish and maintain calendar for principalsMake appointments and travel arrangements for principalsTranscribe and type dictation to produce a variety of legal documents as requested by lawyersFile documentsOrganize client and internal meetingsInput attorney time and reimbursable expensesPrepare client billsUnderstand and calculate financials related to billing invoicesFill printers and copier with paper each morning and during the day as necessaryPrepare Working Group Lists (WGLs)Update InterAction database with client contact informationOpen/edit client mattersRun conflict checksAble to provide coverage to Principals on the practice floors as neededQualifications/Position RequirementsAbility to manage a varied workload and meet deadlinesMust be punctual and reliableProficient in MS Word, Excel, PowerPoint, Outlook and other applications as neededStrong interpersonal skillsMust be able to work collaboratively with lawyers and staff, demonstrating strong teamwork and a positive attitudeFlexibility in daily schedule to accommodate unexpected situations arising from attorneys/legal assistants and other staffExcellent written and verbal communication skillsAbility to proofread typed material for typographical, spelling and grammatical errorsAbility to type with speed and accuracyEnsure confidentiality of all the Firms and clients’ documentation and information Experience with Aderant, PSShip, Enterprise Emburse, InterAction (preferable)Education And/or ExperienceAssociate Degree or higher1 to 5 years’ experience as an administrative assistant or paralegalCompensationThe expected base salary for this position ranges from $60,000 - $90,000. Salary offers are based on a wide range of factors including relevant skills, training, experience, education, anticipated assignment, and, where applicable, licensure or certifications obtained.
