Our firm utilizes a cloud-based phone system for both incoming and outgoing calls. Our receptionists triage a high-volume of calls for three different law firms, new and potential clients, vendors, etc. Wireless headsets and dual screen computers are used to support the fast-paced work. See below for job description. SUMMARY: Responsible for professionally managing the firm's front desk daily by greeting and assisting guests, vendors, and clients and answering all incoming calls. Additionally, this position receives couriers and deliveries for proper distribution and schedules conference rooms as needed. DUTIES AND RESPONSIBILITIES: · Greet and welcome guests to the firm. · Direct visitors to the appropriate person and/or conference room. · Answer, screen, and forward all incoming phone calls for multiple entities. · Provides callers with information as needed i.e., office address, directions, firm fax number, website, etc. · Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.) · Ensure reception area is kept tidy and presentable. · Maintain conference room reservations as requested. · Assist with special projects and other duties as assigned. QUALIFICATIONS: · Professional attitude and appearance. · Multitasking and time management skills with ability to prioritize tasks. · Ability to be resourceful and proactive when issues arise. · Excellent communication skills and solid phone etiquette. · 3+ years of front desk/reception experience, preferably in a legal setting. · High school diploma or equivalent.
