We're seeking a detail-oriented and organized Job Accounting Administrator to join our team and support the financial and administrative functions related to our DOT contract jobs.Position Overview:The Job Accounting Administrator is responsible for managing and monitoring job cost accounting activities, ensuring compliance with DOT requirements, and supporting project management with accurate job tracking and reporting. This role plays a critical part in ensuring project profitability, efficiency, and adherence to contract guidelines.Key Responsibilities: Job Cost Tracking: Monitor and track all job-related costs including labor, equipment, materials, and subcontractor expenses. Contract Compliance: Ensure documentation and cost reporting comply with DOT regulations and contract specifications. Invoicing & Billing: Prepare and submit accurate invoices for DOT contracts in accordance with project milestones and billing schedules. Purchase Orders & Work Orders: Assist with creating, tracking, and reconciling purchase and work orders against job budgets. Project Reporting: Generate job cost reports, budget vs. actual analysis, and assist with forecasting. Document Management: Maintain organized and accurate project documentation, including timesheets, receipts, equipment logs, and change orders. Liaison: Coordinate with project managers, estimators, and field supervisors to gather job data and resolve discrepancies. Audits & Reviews: Assist with internal and external audits related to job costing and DOT compliance. System Updates: Enter and update job information in accounting/project management software systems.Qualifications: Education: Associate degree or higher in Accounting, Business Administration, or related field (or equivalent work experience). Experience:o 2+ years in construction accounting, preferably in DOT or public works projectso Experience with job costing and construction accounting software (e.g., Viewpoint, Foundation, Sage, QuickBooks) Skills:o Strong understanding of job costing principleso Proficient in Microsoft Excel and accounting systemso Detail-oriented with strong organizational and communication skillso Ability to manage multiple priorities in a fast-paced environmentPreferred Qualifications: Knowledge of DOT contract structure and compliance standards Experience with certified payroll and prevailing wage reporting Familiarity with lien waivers, retainage, and contract billing processesBenefits: Competitive salary Health, dental, and vision insurance Paid time off and holidays 401(k) with company match Opportunities for advancement in a growing company
