This role requires strong organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment. The assistant acts as a gatekeeper, coordinator, and trusted partner in both business and occasional personal matters.Key ResponsibilitiesExecutive SupportManage the President’s calendar, including scheduling meetings, appointments, and travelPrepare agendas, reports, presentations, and correspondenceScreen calls, emails, and visitors; prioritize communicationsTrack deadlines, follow-ups, and action itemsProperty Management CoordinationLiaise with property managers, vendors, tenants, and internal staffAssist in coordinating property inspections, maintenance schedules, and project timelinesOrganize and maintain property records, leases, and contractsMonitor and track key property performance metrics and reportsAdministrative DutiesHandle confidential documents with discretionMaintain filing systems (digital and physical)Process invoices, expense reports, and basic bookkeeping tasksAssist with office operations and special projectsCommunication & Relationship ManagementServe as a point of contact between the President and property ownersDraft professional emails, memos, and announcementsBuild and maintain relationships with clients, vendors, and partnersPersonal Support (as needed)Coordinate personal appointments, reservations, and errandsAssist with event planning (business and occasional personal events)QualificationsProven experience as an Executive or Personal Assistant, preferably in property management or real estateStrong knowledge of property management processes is a plusExcellent organizational, multitasking, and time-management skillsHigh level of professionalism and confidentialityStrong written and verbal communication skillsProficiency in Microsoft Office (Word, Excel, Outlook) and property management softwareAbility to work independently and anticipate needsPreferred SkillsExperience with property management platforms (e.g., AppFolio, Yardi)Basic understanding of leases, contracts, and real estate terminologyProject coordination experienceWork EnvironmentFast-paced, deadline-driven environmentMay require occasional after-hours availabilityCombination of office-based and occasional on-site property visitsCompensationCompetitive salary based on experienceBenefits may include health insurance, PTO, and 401k-match 100% up to 4%Interested in hearing more?
