Executive Assistant

DescriptionOur client is seeking a proactive and highly organized Executive Assistant to provide high-level support to senior leadership. This role plays a critical part in keeping executives aligned, calendars running smoothly, and daily operations efficient. The ideal candidate thrives in a fast-paced environment, anticipates needs, and manages competing priorities with discretion and professionalism.Job Responsibilities:+ Manage and optimize executive calendars to align with business priorities+ Coordinate complex internal and external meetings+ Proactively adjust schedules to accommodate urgent or last-minute changes+ Prepare and distribute meeting agendas, materials, and reminders+ Track action items and follow up to ensure timely completion+ Serve as the primary day-to-day administrative point of contact for senior leaders+ Draft, format, and edit correspondence, reports, and presentations+ Screen calls and manage correspondence to ensure timely communication+ Prepare meeting materials, take notes, and summarize key takeaways+ Support onboarding for new hires, including equipment, system access, and workspace coordination+ Maintain organized digital and physical records+ Coordinate domestic and international travel, including itineraries and accommodations+ Assist with logistics for company events, team offsites, and conferences+ Liaise with vendors and service providers to support seamless execution+ Assist with expense reporting, invoice tracking, and basic financial administration+ Support day-to-day office operations, including supplies, access management, and vendor coordinationRequirements+ Strong ability to stay organized and manage details across multiple priorities+ Excellent communication skills, both written and verbal+ Comfortable working in a fast-paced, evolving environment+ Demonstrated discretion when handling confidential information+ Proficiency with Microsoft Office and general workplace tools+ Experience coordinating travel and working with vendors or service providers+ Quick learner with a high level of comfort adopting new systems and technology+ Willingness to travel occasionally in support of business needsTalentMatchRobert Half is the world's first and largest specialized talent solutions firm that connects highly qualified job seekers to opportunities at great companies.
