Accounting & Operations Coordinator
Position Overview:We are seeking a detail-oriented and dependable Accounting & Operations Coordinator to support our accounting, billing, and project documentation processes in a fast-paced construction environment. This role is 100% on site and is ideal for someone with prior exposure to construction or project-based work who is interested in building a career in accounting, job costing, or operations.This position will work closely with accounting, payroll, and project management teams to ensure financial documentation is accurate, organized, and audit-ready. While this role may assist with administrative needs, its primary focus is supporting accounting functions and operational workflows tied to active projects.Key Responsibilities (include but are not limited to):Accounting SupportCollect, track, and reconcile American Express receipts and statementsAssist with Accounts Payable (AP) documentation, coding, and entry supportAssist with Accounts Receivable (AR) tracking, invoice support, and documentationMaintain organized digital and physical filing systems for invoices, work orders, and financial recordsSupport job costing and project-based financial tracking effortsAssist with preparation and review of certified payroll reports and supporting documentationPartner with accounting and billing teams to ensure timely and accurate processingProject & Documentation SupportMaintain accurate and up-to-date project files, including contracts, work orders, and change ordersEnsure all documentation is complete and audit-ready for internal and external requirementsSupport billing and contract documentation needs as projects progressAssist with data entry and system updates within accounting and project management systemsOperations SupportTrack vehicle tags, renewals, and compliance-related documentationSupport department leaders with administrative needs tied to projects and accounting workflowsAssist in improving and maintaining standardized processes across accounting and operationsWhat We're Looking For:Prior experience in construction, accounting support, or project-based environments preferredStrong attention to detail and organizational skillsInterest in developing accounting, billing, or job costing knowledgeAbility to manage multiple priorities in a deadline-driven environmentStrong communication skills and ability to work cross-functionallyProficiency in Microsoft Office (especially Excel, Outlook, and SharePoint)Dependable attendance and strong work ethicAbilities:Possess all auditory, speaking, and communication capabilitiesPhysical requirements include sitting, standing, walking, bending, twisting, climbing, pushing, pulling, and lifting up to 25 lbs., as well as seeing and readingAll FSS employees are required to comply with our Substance Abuse Prevention Policy as a condition of employment.
