Program Coordinator
The Program Coordinator is part of the Institute of National Security at Vanderbilt University and is a keycontributor responsible for assisting the Senior Program Manager with the planning and execution ofprograms and activities within the Institute’s Educate and Advise pillars. The Program Coordinator willprovide coordination and administrative support across a range of student-facing and partner-engagedinitiatives. They will ensure professionalism, confidentiality, and adherence to university policies and theInstitute’s standards in all interactions. They will foster a student-first environment that prioritizes access,inclusion, and professional growth.The Vanderbilt University Institute of National Security is an academic proving ground for future nationalsecurity leaders and a hub for innovation. The Institute also provides a trusted space to convene leaders, experts, and students forconversations about the pressing challenges facing our nation and the world.Duties and Responsibilities Assist with planning, coordination and execution of programs and initiatives across the Educate andAdvise pillars. Coordinate guest speakers, partner engagements, travel accommodations, and logistics for Instituteprograms and events. Maintain accurate and up-to-date records in the Institute’s customer relationship management(CRM) and project management systems. Serve as a liaison between students, faculty and external partners supporting Educate and Adviseactivities. Track participation, outcomes and partner engagement. Foster a student-first environment that prioritizes access, inclusion, and professional growth. Supportstudent onboarding, communications, and ongoing engagement throughout the academic year. Maintain organized records of partners, speakers and program activities across the Educate andAdvise pillars. Manage calendars, communications and logistical coordination across Educate and Advise programsand initiatives. Ensure professionalism, confidentiality, and adherence to university policies and Institute standardsin all interactions. Provide administrative and project support to the Senior Program Manager and Institute leadershipas assigned.Supervisory Relationships: This position does not have supervisory responsibilities. This position reports administratively and functionally to the Senior Program Manager of the Educate and Advise Pillar.Qualifications A bachelor’s degree in business administration, organizational leadership, communications, or arelated field is required. Experience in program coordination, employer engagement, or relationshipmanagement is preferred. This is an entry level position; however, experience in program management is preferred. Strong written and oral communication skills – briefing materials, partner communications, andengagement activities – are required. Strong project coordination skills are required. Attention to detail to manage program logistics, including scheduling, travel, lodging, briefingmaterials is required. Previous experience with customer relationship management tools is preferred.
