Lockbox Specialist

SummaryThe Lockbox Processing Specialist will be expected to assist with Lockbox business operations including envelope extraction, document scanning, transaction data entry, batch review and documentation, reject review, as well as mail desk responsibilities. Additional duties include, but not limited to, pulling down reports and files from the bank’s website or third-party websites. The Lockbox Processing Specialist may perform additional tasks or assist with projects as assigned by the Lockbox Supervisor and/or the Lockbox Administrator.Essential Duties And ResponsibilitiesReceives and sorts mail from the United States Postal ServiceFor each assigned account, opens mail and prepares batches based on processing instructions received from the customer and departmental proceduresMaintains the overall document imaging process including prepping, scanning, and verification of all documents to ensure a systematic free flow processRetrieves files from various sources and imports them into the Lockbox database via the Lockbox softwareMeets quality and quantity objectives as determined by managementEffectively communicates with customers via email and phoneEnsure compliance with HIPAA and HITECH rules for Healthcare Lockbox processingAdditional ResponsibilitiesDemonstrates high degree of professionalism in communication, attitude and teamwork with customers, peers and managementDemonstrates high level of quality work, attendance and appearanceAdheres to all Company Policies & Procedures and Safety RegulationsAdheres to local, state and federal lawsUnderstands and complies with all company rules and regulationsAttends training and maintains a basic knowledge of procedures to ensure compliance with laws and regulations governing financial institutions, as they apply to your position and job responsibilities, with an emphasis on the BSA/AML/CIP, Consumer Privacy, Regulation CC, Information Security, Bank Protection Act, FACT-Identity Theft, Information Technology and GLBA.Additional duties as assigned as it relates to the positionSupervisory ResponsibilitiesThis position does not have supervisory responsibilitiesMinimum QualificationsBusiness operations and/or data entry experienceStrong organizational skills with the ability to prioritize effectivelyExcellent oral and written communication skillsStrong PC Skills including: Word, Excel, File ExplorerStrong attention to detail with solid follow-up skillsStrong "number sense" when reviewing informationEffective problem-solving skills and ability to troubleshoot when problems occurAbility to work effectively under pressure and manage multiple assignments simultaneouslyAbility to thrive in a team settingAble to stand for extended periodsCOMPETENCIES:AdaptabilityCommunicationDecision MakingInitiativeInnovationMotivatorOrganizationProfessionalismResults OrientatedPHYSICAL DEMANDS: In general, the following physical demands are representative of those that must be met by an employee to successfully perform the essential functions of this job.
