You're curious, open to feedback, and motivated to continue learning and developing over time.About the RoleThe Project Assistant plays a key role in supporting Project Managers and field teams by coordinating administrative and project-related tasks. This position is highly visible internally and externally and requires professionalism, strong communication skills, and the ability to manage multiple priorities.You'll be involved in everything from proposal coordination and project setup to client communication and report organization, making you an essential part of keeping projects running smoothly.What You'll DoServe as a point of contact for clients, vendors, and internal teamsAssist with proposal preparation and project setupEnter and maintain project data in internal systems (e.g., Deltek Vision)Prepare reports, templates, and documentation for project teamsTrack project budgets, receipts, and status updatesCoordinate project logistics (including scheduling, shipping, and sample handling)Organize and maintain electronic and hard copy project filesSupport Project Managers, Practice Leads, and operations staffAssist with weekly project tracking and status meetingsEnsure all project documentation is complete, accurate, and properly filedWhat We're Looking ForHigh school diploma required; college degree preferred (Environmental Science, Industrial Hygiene, Engineering, or related field is a plus)12+ years of experience in an administrative or professional office setting (preferred)Strong organizational skills and attention to detailAbility to manage multiple tasks and meet deadlinesExcellent written and verbal communication skillsProficiency in Microsoft Office (Word, Excel, Outlook)Comfortable working in a fast-paced, team-oriented environmentSelf-starter with a proactive and problem-solving mindsetWhy Join CitadelAt Citadel, we invest in our people because we want them to succeed.
